Key Responsibilities

  • Outbound & Inbound Call Management: Initiate outbound calls and handle inbound inquiries from shareholders, providing clear, concise, and accurate information about voting procedures and shareholder rights.
  • Shareholder Communication Support: Respond to emails and chat messages related to shareholder communications, ensuring timely and professional replies.
  • Information Verification & Correction: Listen carefully to callers, identify any misinformation they have received, and correct it with factual, regulatory‑compliant guidance.
  • Voting Guidance: Direct shareholders to the appropriate voting platforms, explain how to cast votes correctly, and provide step‑by‑step instructions when needed.
  • Message Reinforcement: Consistently reinforce the message that shareholders should disregard inaccurate communications from unauthorized sources, emphasizing arenaflex’s commitment to transparency.
  • Data Entry & Documentation: Accurately capture call details, outcomes, and any follow‑up actions in the designated CRM system, maintaining data integrity and confidentiality.
  • Collaboration with Internal Teams: Work closely with compliance, legal, and client‑service teams to stay updated on policy changes, voting deadlines, and emerging shareholder concerns.
  • Shift Coverage: Provide reliable coverage for the evening shift schedule—Monday through Thursday (6:00 PM – 11:00 PM Eastern) and Saturday (12:00 PM – 6:00 AM Eastern).

Essential Qualifications

  • Minimum 6 months of customer service or data‑entry experience, preferably in a financial or regulated environment.
  • Clear, pleasant speaking voice with the ability to convey complex information in an easy‑to‑understand manner.
  • Strong command of English grammar, spelling, and punctuation; ability to proofread and correct written communication.
  • Reliable high‑speed internet connection (minimum 50 Mbps download / 10 Mbps upload) and a quiet, distraction‑free workspace.
  • Proficiency with standard office software (Microsoft Office, Google Workspace) and comfort navigating CRM or ticketing platforms.
  • Demonstrated ability to work independently while maintaining high levels of accuracy and attention to detail.

Preferred Qualifications & Additional Skills

  • Experience handling regulated communications, such as SEC filings, proxy statements, or other shareholder‑related documentation.
  • Familiarity with financial terminology (e.g., proxy, voting rights, shareholder meeting, quorum).
