About the Role

As a Customer Information Data Entry Specialist at arenaflex, you will be responsible for capturing, maintaining, updating, and securing customer information across our proprietary database systems. Your work will directly support our mission of providing outstanding service to policyholders, agents, and partners. You will collaborate with multiple departments including customer service, underwriting, claims, and compliance to ensure seamless data flow and integrity throughout the organization.

Key Responsibilities

  • Accurate Data Entry and Updates: Enter, update, and maintain comprehensive customer information in the arenaflex database systems with a high degree of accuracy and timeliness. This includes personal details, policy information, contact records, and transactional data.
  • Data Verification and Validation: Review and verify customer data for completeness, correctness, and consistency. Cross-reference information against source documents and internal records to ensure data quality.
  • Discrepancy Resolution: Identify, investigate, and assist in resolving data discrepancies, errors, and inconsistencies within the customer information system. Escalate complex issues to senior team members as needed.
  • Cross-Departmental Collaboration: Work closely with customer service representatives, underwriters, claims adjusters, and compliance officers to verify customer details, confirm policy status, and ensure alignment across teams.
  • Regular Data Audits: Conduct scheduled and ad-hoc audits of customer data to maintain accuracy, organization, and compliance with internal standards and regulatory requirements.
  • Reporting and Communication: Prepare detailed reports related to customer data trends, error rates, and audit findings. Communicate findings clearly to management and recommend process improvements.
  • Data Privacy and Security: Strictly adhere to all data privacy protocols, including HIPAA, GDPR, and other applicable regulations. Ensure the security and confidentiality of all sensitive customer information handled within your role.
  • Process Improvement: Actively participate in initiatives to streamline data entry workflows, reduce error rates, and improve overall operational efficiency within the data management team.
  • Documentation: Maintain clear and organized records of data entry activities, corrections made, and procedures followed to support audit trails and knowledge sharing.
  • Customer Support Backup: Occasionally assist the customer service team with data-related inquiries, providing accurate information from the database to support customer needs.

Essential Qualifications

  • Educational Background: High school diploma or equivalent is required. Additional education, certification, or vocational training in data management, business administration, or a related field is highly preferred.
  • Professional Experience: Minimum of two years of proven experience in a data entry, administrative, or customer information management role. Experience within the insurance, financial services, or healthcare industries is a strong plus.
  • Technical Proficiency: Demonstrated proficiency with data entry software, customer relationship management (CRM) platforms, and the full Microsoft Office Suite, with particular expertise in Microsoft Excel (including formulas, pivot tables, and data sorting).
  • Typing Speed and Accuracy: A typing speed of at least 45 words per minute with a high accuracy rate is required for this position.
  • Attention to Detail: Exceptional attention to detail with a proven ability to spot discrepancies, errors, and inconsistencies in large volumes of data.
  • Organizational Skills: Strong organizational skills with the ability to manage multiple tasks, prioritize effectively, and maintain accuracy under tight deadlines.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to document findings, explain data issues, and collaborate effectively with team members.

Preferred Qualifications

  • Prior experience working in the insurance industry or with insurance-specific database systems.
  • Familiarity with data privacy regulations such as HIPAA, GDPR, CCPA, and other relevant compliance frameworks.
  • Experience with database management tools, SQL queries, or basic data analytics.
  • Knowledge of insurance terminology, policy structures, and underwriting processes.
  • Associate's or bachelor's degree in business, information technology, or a related discipline.
  • Certification in data management, records management, or administrative services.
