Position Overview

The Remote Customer Experience Specialist plays a central role in ensuring every customer interaction reflects arenaflex's commitment to excellence. This position is responsible for addressing and resolving customer inquiries, providing accurate and timely updates on orders, correcting errors, following up with process servers in the field, and working collaboratively with other internal teams to ensure that all necessary tasks on every order are completed efficiently and accurately.

This is a customer-focused role that demands diplomacy, quick thinking, and the ability to maintain composure while juggling multiple priorities. You will handle a high volume of customer interactions daily, ranging from phone calls and emails to support tickets and internal queries. Your ability to think on your feet, investigate issues thoroughly, and implement effective solutions will be key to your success and the satisfaction of our customers.

Key Responsibilities

  • Customer Ticket Resolution: Respond promptly and professionally to customer support tickets, addressing questions and resolving issues related to existing orders with accuracy and empathy.
  • Phone Support: Manage a high volume of inbound and outbound phone calls, assisting customers with existing orders while also guiding new customers through the online ordering process with clarity and confidence.
  • Email and Written Communication: Respond to a large volume of emails, addressing questions and concerns from customers, internal departments, and process servers in the field, always maintaining a professional and courteous tone.
  • Issue Documentation: Accurately document all customer interactions, issues, and resolutions in Confluence, our internal knowledge management platform, to ensure continuity and transparency across the team.
  • Court Docket Research: Visit court dockets to gather information on case filings, track order status, and occasionally retrieve filed papers as needed to support customer inquiries.
  • Cross-Team Collaboration: Work closely with internal departments, including operations, sales, and field services, to ensure that all tasks required to complete an order are executed seamlessly.
  • Process Improvement: Identify recurring issues, suggest improvements to workflows, and contribute to the development of new processes that enhance team performance and customer satisfaction.
  • Additional Duties: Perform other job-related responsibilities as assigned to support the broader goals of the customer experience team and arenaflex as a whole.

Essential Qualifications

  • Education: High school diploma or GED required.
  • Experience: Minimum of 1 to 3 years of customer support or call center experience, with a proven track record of assisting customers over the phone in a professional setting.
  • Technical Proficiency: Comfort and experience using computer programs such as Microsoft Outlook, Excel, Word, PDF editors, and phone systems. You should be a quick learner who embraces new technology.
  • Document Manipulation: Experience working with documents, including editing, formatting, and reviewing for accuracy.
  • Communication Skills: Strong ability to read, write, and speak English clearly and professionally, with excellent grammar and attention to detail in all forms of communication.
  • Analytical Thinking: Ability to transcribe information accurately, review orders carefully, investigate issues thoroughly, and implement effective solutions.
  • Accuracy and Consistency: Demonstrated ability to perform repetitive tasks with a high degree of accuracy and consistency.
  • Stress Management: Ability to maintain a high level of work product and professionalism, even in stressful or high-pressure situations.
  • Proactive Problem-Solving: Strong ability to anticipate potential issues and take proactive steps to circumvent them before they escalate.
  • Adaptability: Willingness and ability to implement new processes, adapt to changes, and continuously improve personal and team performance.
  • Typing Speed: Minimum typing speed of 55 words per minute with high accuracy.

Preferred Qualifications

  • Prior experience in the legal services industry or a related field.
  • Familiarity with Confluence or similar knowledge management and collaboration platforms.
  • Experience working in a remote or distributed team environment.
  • Multilingual abilities are a plus, though not required.

Compensation, Perks, and Benefits
