As an Insurance Customer Service Representative at arenaflex, you will be the trusted liaison between our clients, carriers, and internal teams. Key Responsibilities

Client Communication & Claims Assistance

  • Serve as the primary point of contact for clients filing claims, gathering all necessary documentation, and coordinating with adjusters to expedite the claims process.
  • Provide empathetic, timely updates to clients throughout the claims lifecycle, ensuring they understand each step and feel supported.
  • Maintain accurate records of claim interactions in our secure CRM system, documenting all communications, documents, and outcomes.

Policy Management & Documentation

  • Update client accounts with any policy changes, endorsements, or renewals, ensuring that all modifications are reflected accurately in the book of business.
  • Explain coverage adjustments, rate fluctuations, and billing details to clients in clear, jargon‑free language, fostering confidence and trust.
  • Conduct regular reviews of client portfolios to identify gaps, recommend enhancements, and propose competitive quotes that align with evolving needs.

Renewal & Quote Generation

  • Proactively reach out to clients ahead of renewal dates, presenting tailored options and competitive pricing to secure continued business.
  • Collaborate with underwriters, sales representatives, and account executives to obtain the most favorable terms for clients.
  • Document renewal activities, track response rates, and analyze renewal trends to inform strategic improvements.

Industry Knowledge & Continuous Learning

  • Stay current on industry standards, emerging insurance products, carrier guidelines, and regulatory changes by engaging with industry partners and attending training sessions.
  • Share insights with the broader arenaflex service team, helping to refine processes, improve client education, and enhance overall service delivery.

Administrative Excellence

  • Accurately log all client interactions—calls, emails, and policy updates—in the CRM, ensuring a complete audit trail.
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) to generate reports, track performance metrics, and prepare client communications.
  • Assist with ad‑hoc projects, data analysis, and process improvement initiatives as directed by management.

Essential Qualifications

  • Licensing: Must hold an active insurance license in Minnesota or be willing to obtain one within 30 days of hire.
  • Communication Skills: Exceptional written and verbal communication abilities, with a talent for translating complex insurance concepts into understandable language.
  • Problem‑Solving & Follow‑Up: Demonstrated aptitude for identifying client issues, developing solutions, and following through until resolution.
  • Technical Proficiency: Comfortable using Microsoft Office Suite and navigating CRM or policy management platforms.
  • Experience: Prior experience as an insurance agent, customer service representative, or in a related role is preferred, though comprehensive training will be provided for the right candidate.
