Position Overview

The Customer Support Specialist is the front line of arenaflex’s client experience. You will address and resolve a wide range of customer inquiries, from order status updates to complex filing issues, ensuring that every interaction reflects arenaflex’s standards of professionalism, accuracy, and empathy. This is a full‑time, remote role open to candidates located anywhere in the United States.

Key Responsibilities

  • Respond promptly to customer support tickets, providing clear answers and effective resolutions for existing orders.
  • Manage a high volume of inbound phone calls, guiding customers through order placement, status checks, and troubleshooting steps.
  • Handle inbound and outbound email communications, addressing questions from clients, internal departments, and field process servers.
  • Document all issues, resolutions, and process improvements in Confluence to maintain a knowledge base for the entire support team.
  • Research court dockets to retrieve case filing information and, when necessary, pull filed papers for client review.
  • Collaborate closely with the operations, billing, and technology teams to ensure that every order moves smoothly through the fulfillment pipeline.
  • Identify recurring pain points, propose process enhancements, and assist in the implementation of new workflows.
  • Maintain a high level of data accuracy while performing repetitive tasks such as document manipulation, order verification, and data entry.
  • Participate in regular training sessions, team huddles, and performance reviews to continuously improve service quality.
  • Perform any additional duties assigned by the Customer Support Manager that contribute to the overall success of arenaflex.

Essential Qualifications

  • High school diploma or GED required; 1–3 years of experience in a customer support or call‑center environment, preferably within a technology‑focused or legal services context.
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word) and familiarity with PDF editing tools and modern phone systems.
  • Demonstrated ability to read, write, and speak fluent English with strong grammar and communication skills.
  • Typing speed of at least 55 words per minute with a focus on accuracy.
  • Experience manipulating digital documents (e.g., merging PDFs, extracting data, redacting sensitive information).
  • Ability to transcribe information, investigate order discrepancies, and implement practical solutions quickly.
  • Strong organizational skills and the capacity to juggle multiple priorities while maintaining composure under pressure.
  • Proactive mindset: anticipate potential issues, suggest preventive measures, and adapt to evolving processes.

Preferred Qualifications & Skills

  • Associate’s or Bachelor’s degree in Business, Communications, Legal Studies, or a related field.
  • Previous exposure to legal document filing, court docket research, or process‑server coordination.
  • Experience using ticketing platforms (e.g., Zendesk, Freshdesk) and collaboration tools such as Confluence or SharePoint.
  • Familiarity with CRM systems and basic data analytics to track support metrics.
  • Demonstrated track record of improving customer satisfaction scores or reducing average handling time.
  • Certification in customer service excellence (e.g., HDI, ITIL) or related professional development.

Compensation, Perks & Benefits
