Work from home Full-time role Hiring

Join arenaflex: Shape the Future of Healthcare Data Excellence

At arenaflex, we believe that behind every great healthcare decision is accurate, timely, and well-organized data. As a leader in transformation and technology-enabled solutions, arenaflex partners with organizations across North America, Europe, and Asia to activate ideas and solutions that take advantage of a rapidly evolving world of opportunity. With a team of 80,000 strong, working alongside over 6,000 clients — including 80% of the Fortune 500 — we sit at the intersection of healthcare, technology, and talent. Whether you're entering the workforce for the first time or building on years of experience, a role at arenaflex offers you the chance to contribute to something truly meaningful: the infrastructure of healthcare information that powers better patient outcomes and smarter clinical decisions.

We are currently seeking a dedicated, detail-oriented, and self-motivated Remote Healthcare Data Entry Specialist to join our growing team through a contract-to-hire arrangement. This is a fully remote opportunity — meaning you can perform your work from the comfort of your home or any workspace you choose, as long as you have reliable high-speed internet and a capable computer. If you thrive in a metrics-driven environment, enjoy working with healthcare data, and want to be part of a team that genuinely values accuracy, accountability, and professional growth, this role may be the perfect fit for you.

About the Opportunity: Remote Healthcare Data Entry Specialist at arenaflex

In this 100% remote role, you will serve as a Client Coordinator responsible for processing various types of medical documents, with a primary focus on Independent Medical Reviews (IMRs). You will be at the frontline of healthcare data integrity — ensuring that critical medical information is accurately extracted, properly documented, and efficiently entered into electronic databases using tools such as Microsoft Excel and Microsoft Word. Every day, your work directly supports the speed and quality of healthcare assessments, helping clinicians, claims adjusters, and insurance professionals make timely, informed decisions.

This is a contract-to-hire position with a starting hourly rate of $16 per hour. The schedule is Monday through Friday, 8:30 AM to 5:00 PM Eastern Standard Time (EST). We are looking for individuals who are comfortable working independently while also collaborating seamlessly with team members. The role requires a combination of data entry precision, critical thinking, customer service aptitude, and the ability to stay organized and motivated in a fast-paced, quota-driven environment.

A Day in the Role

No two days are exactly alike, but here is what you can expect on a typical day as a Remote Healthcare Data Entry Specialist at arenaflex:

  • Process Medical Documents: You will receive and review a variety of incoming medical documents, with a strong emphasis on Independent Medical Reviews (IMRs). These documents may include clinical notes, physician reports, diagnostic test results, and claims-related paperwork. Your ability to read, comprehend, and act on this information is central to the role.
  • Data Extraction and Entry: Using your sharp attention to detail, you will extract pertinent data points from these documents and enter them accurately into our electronic database systems. Proficiency in Microsoft Excel and Microsoft Word is essential, as these tools form the backbone of our data processing workflows.
  • Collaborate with Team Members: While the role offers the flexibility of full remote work, you are never working in isolation. You will partner with other coordinators, team leads, and subject matter experts to resolve questions, clarify ambiguities, and ensure that every case is handled with the highest level of accuracy and professionalism.
  • Critical Thinking and Problem Solving: You will apply structured critical thinking steps to determine the appropriate next actions for each case. When information is missing, unclear, or requires further context, you will proactively reach out to clients via telephone to obtain the necessary details. This aspect of the role adds a meaningful customer service and communication dimension.
  • Maintain Timeliness and Quality Standards: All cases must be returned in a timely fashion. You will be expected to manage your workload effectively, prioritize tasks, and meet established productivity metrics. This is a quota-driven environment, and we look for individuals who are motivated by performance standards and who take pride in meeting and exceeding expectations.
  • Adherence to Compliance Standards: Given the sensitive nature of healthcare information, strict adherence to HIPAA regulations and patient privacy standards is non-negotiable. You will handle protected health information (PHI) with the utmost care and confidentiality.
  • Client Communication: The role involves a meaningful amount of customer service and client coordination over the phone. You should feel comfortable speaking with clients, documenting conversations, and updating case notes with professionalism and clarity.

Key Responsibilities at a Glance

  • Review and process incoming medical documents, including Independent Medical Reviews and related clinical records
  • Extract, verify, and enter data into electronic databases using Microsoft Excel and Microsoft Word
  • Apply critical thinking and problem-solving skills to identify next steps and resolve data gaps
  • Contact clients via telephone to collect missing information and clarify case details
  • Collaborate with internal team members to ensure accuracy, consistency, and timeliness across all cases
  • Maintain compliance with HIPAA regulations and all patient privacy requirements at all times
  • Manage workload independently and meet established metrics, quotas, and deadlines
  • Document all actions, communications, and case updates thoroughly and accurately
  • Participate in team meetings, training sessions, and quality assurance reviews as required

Qualifications and Requirements

Essential Requirements

To be successful in this role, candidates must meet the following baseline requirements:

  • High School Diploma or equivalent (GED accepted). A college degree is not required but viewed favorably.
  • Reliable high-speed internet connection at your primary workspace. This is a non-negotiable requirement for all remote positions at arenaflex, as you will be accessing internal systems, databases, and communication tools throughout the workday.
  • A personal computer or laptop that meets minimum performance specifications for running Microsoft Office applications and accessing secure web-based platforms. arenaflex does not provide equipment for this particular role; however, you will receive detailed specifications upon offer.
  • Knowledge of HIPAA regulations and patient privacy laws. Even if you do not have formal HIPAA training, you must demonstrate a clear understanding of the importance of patient confidentiality and the legal obligations that govern healthcare information. Formal training will be provided during onboarding.
  • Previous experience working in a metrics-driven or quota-based environment. We are looking for individuals who are accustomed to performance benchmarks, productivity targets, and quality standards. This is a fast-paced role, and the ability to stay motivated under measurable performance expectations is essential.
  • Comfort and proficiency using computers, spreadsheets, and general office software. Strong familiarity with Microsoft Excel (including data entry, basic formulas, and spreadsheet navigation) and Microsoft Word is required.
  • Excellent verbal and written communication skills. You will be communicating with clients and team members regularly, both in writing and over the phone.

Preferred Qualifications

While not mandatory, the following qualifications will strengthen your candidacy and may lead to a higher starting consideration:

  • Experience in healthcare, insurance, or claims processing. If you have worked in medical billing, health insurance claims, prior authorization, or a related field, you will bring valuable context and speed to this role.
  • Remote healthcare experience. Candidates who have previously worked remotely in a healthcare-adjacent role will adapt quickly to the dynamics of virtual teamwork and independent work.
  • Experience with electronic medical records (EMR) or electronic health records (EHR) systems. While our primary tools are Microsoft Excel and Word, familiarity with healthcare data systems is a strong plus.
  • Experience with CRM or case management software. If you have used platforms such as Salesforce, Zoho, HubSpot, or similar tools for tracking cases and client interactions, you will find this role intuitive.
  • Associate's or Bachelor's degree in a related field (Health Information Management, Healthcare Administration, Business, or similar).
  • Previous medical records or health information management (HIM) experience. Any background in medical coding, medical transcription, or health information technology is highly valued.

Skills and Competencies for Success

Beyond technical requirements, arenaflex looks for candidates who embody the following core competencies:

  • Attention to Detail: In healthcare data, even a small error can have significant downstream consequences. Precision and thoroughness are non-negotiable.
  • Self-Motivation and Discipline: Working from home requires a high degree of personal accountability and the ability to manage your time without direct supervision.
  • Adaptability: Healthcare regulations, documentation standards, and client expectations can shift. Being flexible and open to learning new systems and processes is vital.
  • Customer Service Mindset: Even though this is a back-office data role, client-facing interactions require courtesy, patience, and professionalism.
  • Resilience Under Pressure: Meeting daily metrics and handling high document volumes can be demanding. We seek individuals who stay calm, focused, and solutions-oriented.
  • Team Orientation: Even remotely, you are part of a larger team. Being collaborative, communicative, and supportive of colleagues is a core value at arenaflex.
  • Integrity and Ethical Judgment: Handling sensitive patient information requires the highest ethical standards and a commitment to compliance.
