Senior Operations Manager

Work from home Full-time role Hiring

ABOUT US Trusted by 900,000 monthly active users, UpCodes (YC S17) is a comprehensive compliance and product research platform that accelerates design to construction in the AEC space. The construction industry suffers from unnecessary costs and complexity. Every year billions of dollars are wasted on rework. We’re committed to delivering easy-to-use tools that help designers and builders spend less time finding the right compliance and product resources and more time doing what they love — designing and building. We make a real world tangible impact on the lives of our users and cities we live in. ABOUT THE ROLE We’re looking for an operations generalist to support core operations at a high-growth, mission-driven company. As the Senior Operations Manager at UpCodes, you’ll be responsible for running critical systems that keep the company running day-to-day—from managing contractor payroll and expense tracking to helping plan retreats and onboarding new hires. You’ll also be part of longer-term initiatives like streamlining support systems, building out new automations, and helping assess our benefits and tooling. This is a highly visible, high-trust role where precision, structure, and follow-through are essential—especially when it comes to financial operations and shaping the employee experience. You’ll operate across a broad range of functions, including Finance, Recruiting, and Support, with some exposure to Legal and Compliance. The ideal candidate is scrappy, structured, and excited to wear many hats in a fast-moving environment. WHAT YOU’LL DO As our Senior Operations Manager, you'll support critical business functions and help build the operational backbone that keeps UpCodes running smoothly. You’ll work closely with the founders and collaborate with cross-functional stakeholders across the company. In this role, you will:

  • Keep our systems humming: Process contractor payroll, reimbursements, vendor payments, and stipends. Manage accounts receivable and user payments. Track budgets, manage invoices, and partner with the founders to ensure all payments are timely and accurate. Oversee recurring tasks with a focus on accuracy, documentation, and continuous improvement.
  • Support the team experience: Coordinate onboarding and offboarding logistics, answer day-to-day benefits and HR questions, drive and execute company-wide events (like retreats, lunch & learns, social events), and culture initiatives like our engagement surveys.
  • Jump in where needed: Troubleshoot and problem-solve across departments. You'll build templates, refine processes, and take on ad hoc projects that make the team more effective.
  • Elevate how we work: Spot inefficiencies and bring new ideas for automations, tooling upgrades, and internal improvements (especially around vendors, policies, and benefits).
  • Contribute to legislative advocacy work as needed: Contribute to shaping national policy by defending free law, with potential opportunities to make trips to Washington, D.C.—a unique chance to support a mission with broad public impact and meet with top US policymakers.

THE IDEAL CANDIDATE

  • Experience: 5+ years in an operational role at a fast-paced startup or similar environment with proven experience managing vendor payments, payroll, and HR-related processes. Exposure to compliance or legal workflows brings added value.
  • Detail-oriented and structured: You spot issues before they become problems. You document clearly, move quickly, and leave things better than you found them.
  • Highly tech fluent: You’re hands-on with finance and HRIS platforms (ie. Rippling, Xero, Brex, and Deel) and can quickly ramp up on new systems without friction.
  • Clear communicator: You write well and keep stakeholders informed. You ask good questions and escalate appropriately when something feels off.
  • Open to feedback: You’re good at managing and using feedback as a driving force for your work. You thrive in a fast-paced environment, handling multiple initiatives and perspectives simultaneously while maintaining an optimistic outlook. You're open-minded and not afraid to learn through trial and error.
  • Takes ownership: You’re not afraid to roll up your sleeves and get it done. You thrive in a lean, low-ego, high-accountability environment.
