Part-time Administrative Assistant

Schedule One six-hour block (10 am to 4 pm) on Mondays (or another fixed day of the week) and one two-hour block on another weekday. During busy periods (sponsorships renewals, weeks leading up to annual congress), some flexibility in the schedule will be required, with an option for additional hours as needed (to a maximum of 12 hours per week) Responsibilities · Assists the President and Board of the OCCI in all communications, organizations, administration, and record keeping matters. · Create and use email templates for communications · Manage calendar events and communicate with Chairs of committees. · Support annual sponsorship campaign (renewal reminders, payment processing, issuing receipts, ensure website updates to reflect current sponsors) · Use computer tools to set up meetings, as directed by the President. · Assist with postings to the OCCI’s social media pages (Instagram, Facebook was not used much), under direction of Chair of the PR committee. · Assist with postings of the PD events to the OCCI’s website (Wufoo for requests/application and Google sheet that linked to site), under direction of Chair of the Education committee. · Assist with any other administrative requirements of the president as needed. · Update website (e.g., updates to listings, text content, etc.) · Review applications for missing documents/requirements – reply to incomplete applications and flag missing documents Skills and Abilities · Excellent communication skills and command of English language (written and spoken) · Ability to perform duties in a professional and courteous manner and produce high quality work while meeting deadlines · Ability to work under pressure and to manage and prioritize multiple tasks · Excellent customer service · Excellent problem-solving skills including flexibility tolerance, and adaptability · Strong computer skills (e.g., Word, Excel, Canva, and various social media platforms) · Detail oriented and able to check one’s own work Requirements · Positive attitude · At least 1 year of Post-Secondary education. · Adheres to a strict code of confidentiality · Excellent attendance record · Maintains consistent satisfactory performance of assigned tasks · Strong understanding and alignment of the OCCI mission and accreditation framework (be able to answer frequent questions from applicants and ACIs) · Maintains constant communication with the team warding opportunity.
