Entry Level Accounting Administrator (REMOTE)

Accounting Administrator JOB SUMMARY... We are seeking a highly organized and detail-oriented Accounting Administrator in the Finance & Accounting Department to join our team. This entry-level position will support contract administration processes, with additional responsibilities in basic accounting tasks, such as accounts payables, receivables and payroll. The ideal candidate will have strong communication skills, be eager to learn, and possess the ability to work effectively in a fast-paced environment. No prior experience is required, but a background in contracts, administration, or finance is a plus. ESSENTIAL DUTIES AND RESPONSIBILITIES Under direct supervision perform the following tasks: Contract Administration: Assist in drafting, reviewing, and processing contracts, agreements, and amendments. Maintain organized records of contracts and related documents. Track contract milestones, expiration dates, and renewal opportunities. Support the Director of Finance with compliance checks and ensuring adherence to contract terms. Liaise with internal departments (legal, operations, HR) to ensure contract-related needs are met. Accounting: Process basic financial transactions such as purchase orders, invoices, and payments. Reconcile expense reports and assist in maintaining accurate financial records. Support month-end and year-end financial close processes by gathering necessary documentation. Support the payroll process by tracking and verifying payroll data and timesheets. Assist with data entry and preparation of financial reports. General Administrative Support: Handle correspondence and communication related to contracts and financial matters. Support audits and compliance reviews by preparing documentation as requested. Assist with other administrative tasks as needed. MINIMUM QUALIFICATIONS Highschool Diploma or equivalent, 2 -4-year degree preferred Equivalent experience or certifications in administrative assistance, contracts administration and/or accounting will also be considered. CORE COMPETENCIES Strong attention to detail and organizational skills. Excellent written and verbal communication skills. Ability to multitask and prioritize effectively. Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with contract management or accounting software is a plus. Eagerness to learn and adapt in a dynamic work environment. Preferred: Familiarity with basic accounting principles and processes. Understanding of contract lifecycle management. Internship or academic project experience in contracts or accounting PHYSICAL DEMANDS The physical demands and work environment characteristics described here are representative of those necessary to perform the essential functions of this job.
