Key Responsibilities
Data Entry & Information Management
- Accurately enter, update, and maintain comprehensive client records, booking details, travel itineraries, and profile information across multiple internal systems and databases.
- Perform regular audits and verification routines to confirm that all stored data is current, complete, and free of inconsistencies.
- Generate, format, and distribute routine and ad-hoc reports covering bookings, customer interactions, revenue trends, and travel statistics.
- Identify data quality issues, flag discrepancies, and proactively suggest improvements to streamline workflows and prevent future errors.
- Maintain confidentiality and security of sensitive client and company information in accordance with arenaflex data-handling standards.
Travel Booking & Advisory
- Assist clients in planning, designing, and booking complete travel itineraries, including flights, accommodations, car rentals, ground transportation, tours, and special activities.
- Serve as a trusted travel advisor, offering expert recommendations on destinations, seasonal travel tips, travel packages, and value-added services.
- Manage the full booking lifecycle — from initial inquiry and quote preparation through confirmation, payment, and post-travel follow-up.
- Handle changes, cancellations, modifications, and special requests with precision and a client-first mindset.
- Stay informed on travel industry trends, supplier policies, visa requirements, and destination updates to provide accurate and timely guidance.
- Resolve travel-related issues promptly, including itinerary disruptions, supplier disputes, and emergency rebookings.
Customer Service & Client Relationship Management
- Deliver exceptional service across phone, email, chat, and other digital communication channels, treating every interaction as an opportunity to exceed expectations.
- Respond to client inquiries with professionalism, empathy, and efficiency, ensuring that each customer feels heard and valued.
- Follow up with clients post-travel to gather feedback, address lingering concerns, and encourage repeat business and referrals.
- Document all client interactions thoroughly within the CRM system to support continuity and team-wide visibility.
- Build lasting rapport with clients by anticipating needs and personalizing recommendations based on past preferences and travel history.
Scheduling & Coordination Duties
- Coordinate complex travel arrangements, internal meetings, and client appointments across multiple time zones.
- Prepare, organize, and distribute detailed itineraries, confirmations, vouchers, and travel documents in a timely manner.
- Maintain organized digital schedules for both clients and internal team members, ensuring deadlines and commitments are consistently met.
- Anticipate scheduling conflicts and propose effective solutions before issues arise.
- Liaise with suppliers, vendors, and partner organizations to confirm logistics and resolve scheduling concerns.
Qualifications
Essential Qualifications
- Proven experience as a travel agent, travel coordinator, or in a similar customer service-focused role, with a strong understanding of travel industry workflows, terminology, and booking systems.
- Excellent written and verbal communication skills, with the ability to convey complex information clearly and courteously.
- Proficiency with travel booking platforms, GDS systems (such as Sabre, Amadeus, or similar), CRM software, and standard office productivity tools.

- Detail-oriented mindset with a high level of accuracy in handling numerical data, itineraries, and scheduling tasks.
