Position Overview

arenaflex is currently hiring a meticulous and highly organized Patient Records Data Entry Specialist to join our healthcare documentation team. This is a full-time remote opportunity designed for a professional who takes pride in the accuracy of their work and understands the critical role that clean, compliant data plays in modern healthcare delivery. In this role, you will be responsible for the accurate entry, maintenance, and organization of patient demographic and clinical information within our electronic medical records (EMR) system.

The ideal candidate will be comfortable working in a fast-paced, detail-oriented environment, communicating with clinical and administrative team members, and consistently meeting data quality standards. This is more than a traditional data entry position — it is an opportunity to become a trusted steward of sensitive patient information and to contribute directly to the operational backbone of patient care at arenaflex.

Key Responsibilities

As a Patient Records Data Entry Specialist at arenaflex, your day-to-day work will directly influence the efficiency of our clinical operations and the quality of care delivered to patients. Your primary responsibilities will include, but are not limited to, the following:

  • Accurate Data Entry: Enter patient demographic, clinical, and administrative information into the electronic medical records system with a high degree of accuracy, ensuring that every field is completed correctly and consistently.
  • Data Verification and Quality Control: Review all entered data for completeness, consistency, and correctness. Identify and correct discrepancies promptly to maintain the integrity of patient records.
  • HIPAA Compliance: Handle all patient health information in strict accordance with HIPAA regulations and arenaflex’s internal privacy and security policies. Maintain confidentiality at all times and report any potential compliance issues to the appropriate supervisor.
  • Documentation Management: Assist in organizing, scanning, indexing, and filing patient documentation in both electronic and, where applicable, physical formats to ensure records are easy to locate and audit-ready.
  • Cross-Functional Collaboration: Work closely with healthcare providers, nurses, intake coordinators, and administrative staff to clarify information, resolve data inconsistencies, and ensure timely updates to patient records.
  • Billing and Insurance Support: Provide support to the billing and insurance verification teams by ensuring that patient records contain accurate insurance details, authorization information, and coding-related data needed for claims processing.
  • System Updates and Maintenance: Update existing patient records as new information becomes available, including changes in address, insurance coverage, treatment plans, and provider notes.
  • Reporting and Audits: Assist in generating routine reports on data entry accuracy, record completeness, and compliance metrics. Participate in internal audits as required.
  • Process Improvement: Identify opportunities to streamline data entry workflows, reduce errors, and improve turnaround times. Provide constructive feedback to leadership on tools, templates, and processes.
