Key Responsibilities

  • Customer Interaction & Support: Respond promptly to inbound calls, emails, and faxes, providing accurate product information, order status updates, and troubleshooting assistance.
  • Order Management: Enter sales orders into the ERP system, verify pricing and product availability, and ensure seamless billing and delivery processes.
  • Quote Preparation & Sample Coordination: Generate detailed quotations, arrange the mailing of product literature and samples, and follow up to capture customer feedback.
  • Delivery Scheduling: Liaise with the dispatch team to coordinate delivery windows, track shipments, and proactively address any logistical challenges.
  • Credit & Financial Processing: Retrieve necessary documentation for the credit department, process credit card and check approvals, and issue credits or debits accurately.
  • Customer Onboarding: Set up new accounts in the Salesforce CRM, ensuring all relevant data fields are populated and compliance standards are met.
  • Documentation & Auditing: Categorize, file, and maintain all customer records, purchase orders, and related paperwork to support internal audits and regulatory compliance.
  • Cross‑Functional Collaboration: Work closely with sales, logistics, finance, and product teams to resolve complex issues and improve overall service delivery.
  • Continuous Improvement: Identify recurring pain points, suggest process enhancements, and contribute to the development of best‑practice guidelines.
  • Ad‑hoc Projects: Participate in temporary or permanent initiatives that support arenaflex’s operational goals, such as system upgrades, training sessions, or special campaigns.

Essential Qualifications

  • High school diploma or equivalent; additional coursework or certifications in business administration, customer service, or related fields is a plus.
  • Demonstrated attention to detail with a strong aptitude for basic mathematics and data entry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort navigating enterprise resource planning (ERP) or customer relationship management (CRM) platforms.
  • Experience operating a multi‑line telephone system and handling high‑volume inbound/outbound communications.
  • Excellent written and verbal communication skills, with a pleasant and professional phone demeanor.
  • Ability to multitask, prioritize competing demands, and maintain composure under pressure.
  • Physical ability to sit for extended periods and perform repetitive hand motions required for computer work; occasional lifting of light packages (up to 25 lb) and bending.

  • Previous experience in a customer service or order entry role within the building materials, construction, or outdoor living sectors.
  • Familiarity with Salesforce, SAP, or similar ERP/CRM systems.
