As our Data Entry Coordinator, you'll be the guardian of this critical information, ensuring accuracy, integrity, and accessibility of the data that drives our program decisions, reports our impact to stakeholders, and ultimately helps us improve services for the communities we serve.
About the Opportunity
This is a dynamic, part-time opportunity (15-20 hours per week) spanning approximately 9 months from October 2024 through June 2025, with potential for extension based on program needs. You'll join arenaflex's Data & Evaluation team, reporting directly to the Managing Director of Design & Evaluation, and work in close collaboration with our Alumni, Partnerships, and Program Operations teams. This is a remote position available to candidates residing within commuting distance (approximately two hours) of an arenaflex Program site in Chicago, Los Angeles, Miami, New York, or the Bay Area, and within the states of CA, CT, FL, IL, IN, NJ, or NY. Compensation is $25 per hour for this non-exempt, hourly role.
Your Core Responsibilities
As a Data Entry Coordinator at arenaflex, you'll serve as a critical bridge between our program operations and our data infrastructure, ensuring that information about our fellows and alumni is captured accurately, maintained securely, and readily accessible for analysis and reporting. Your work will directly contribute to our ability to demonstrate program impact, secure funding, and continuously improve our services. Here's what you'll accomplish:
Data Integrity and Quality Control (50% of Your Role)
- Maintain Data Integrity Through Continuous Monitoring: You'll serve as the first line of defense in ensuring that arenaflex's data is accurate, complete, and consistent across all platforms. This involves regular audits, spot-checks, and systematic reviews of data entry processes to identify and correct errors before they propagate through our systems.
- Generate and Clean Data Extracts: Using Salesforce and other data management tools, you'll regularly generate data extracts for analysis purposes. This includes cleaning and formatting data to ensure it meets quality standards before it's used by the evaluation team for reporting and decision-making.
- Multi-Method Data Verification: You'll employ multiple verification methods to cross-reference data from various sources—Brightspace LMS, Salesforce, LinkedIn Sales Navigator, and LiveAlumni—ensuring that employment outcomes data is accurate and discrepancies are resolved promptly. This may involve reaching out to alumni or program staff to verify information when conflicting data exists.
- 100% Data Accuracy on Employment Updates: You'll take personal ownership of ensuring that all employment update data from program surveys in Brightspace is accurately transferred to Salesforce. This means meticulous attention to detail during data entry and regular quality checks to catch and correct any errors.
- Seamless System Transitions: You'll ensure 100% data accuracy during critical transitions, particularly when fellows move from the program stage to the alumni stage. This involves carefully matching data between Brightspace LMS and Salesforce, verifying that no information is lost or corrupted during system handoffs, and identifying any gaps that need to be addressed.
Data Collection and Reporting (30% of Your Role)
- Support National Outcomes Data Collection: You'll play a key role in administering our national post-program outcomes data collection efforts. This includes sending employment surveys via email and text, managing distribution lists, tracking response rates, and following up with alumni to ensure high participation rates across all cohorts.
- Monthly Employment Verification Reports: You'll generate monthly reports identifying new alumni (within 12 months of program completion) who don't have employment verifications on file. These reports will be shared with Alumni Managers, enabling them to reach out to alumni and gather the necessary verification information to update our records.
- Salary Data Gap Analysis: You'll pull monthly reports identifying alumni who are missing salary information and work closely with the alumni team to verify and update this critical data in Salesforce. Salary information is essential for measuring program impact and demonstrating the economic benefits our program provides to participants.
- Employer Field Management: You'll regularly monitor, update, and sync the "employer" fields in Salesforce, ensuring that company names, job titles, and industry classifications are accurate and consistent. This attention to detail ensures that our reporting accurately reflects the types of careers our alumni secure and helps us identify trends in employer partnerships.
Process Optimization and Collaboration (20% of Your Role)
- Cross-Team Collaboration: You'll actively collaborate with colleagues across the Alumni, Program Operations, and Partnerships teams to understand their data needs, identify bottlenecks in current processes, and develop more efficient approaches to data collection and entry. Your frontline perspective will be invaluable in identifying practical improvements that enhance data quality while reducing administrative burden.
- Process Documentation: You'll help document data entry procedures, creating clear guidelines and standard operating procedures that ensure consistency even when team members change or new team members join. This documentation will become a valuable resource for onboarding and training future team members.
- Continuous Improvement Initiatives: As you identify patterns in data errors, common challenges, or opportunities for efficiency, you'll propose and help implement improvements to our data collection and management processes. This might involve automating routine tasks, creating templates for common data entry scenarios, or developing checklists to reduce errors.

Essential Qualifications
Minimum Experience: At least 1 year of experience in data entry and/or data management roles. This experience should include demonstrated proficiency using Microsoft Excel or Google Sheets for data manipulation and analysis, as well as experience using Salesforce or similar customer relationship management (CRM) systems to input, monitor, and report on data.
Stakeholder Management: Proven ability to plan for and execute processes that involve multiple stakeholders across different departments. You should have a track record of managing competing priorities, meeting deadlines in a fast-paced environment, and maintaining excellent follow-up and follow-through practices to ensure tasks are completed accurately and on time.
Confidentiality and Discretion: Strong commitment to handling sensitive and confidential information with the highest level of discretion. You'll be working with personal information about our alumni, including employment details, salary information, and contact data. Professional integrity and adherence to data privacy standards are essential.
Technical Proficiency: Proficiency in relevant data management software, with a strong preference for Salesforce experience. Familiarity with learning management systems (such as Brightspace), professional networking platforms (such as LinkedIn), and data verification tools is highly desirable. You should be comfortable learning new software quickly and adapting to evolving technology needs.
Preferred Qualifications
- Advanced Excel/Google Sheets Skills: Experience with advanced functions such as VLOOKUP, pivot tables, data validation, and conditional formatting to manipulate and analyze data efficiently.
- Data Analysis Experience: Exposure to data analysis concepts, including the ability to identify trends, anomalies, or patterns in data sets that might indicate data quality issues or opportunities for process improvement.
- Nonprofit or Education Sector Experience: Previous experience working in nonprofit organizations, educational institutions, or social impact organizations, particularly those focused on workforce development, career services, or economic mobility.

Compensation and Benefits
As a part-time hourly employee at arenaflex, you'll receive competitive compensation of $25 per hour for your contributions.
