Position Overview

arenaflex is seeking a dedicated and versatile Remote Administrative & Customer Experience Specialist to join our growing team. This dual-function role blends high-level administrative coordination with frontline customer service, making it ideal for a professional who enjoys variety, problem-solving, and meaningful client interaction. Working entirely from a remote location, you will serve as a key operational anchor for internal teams while also acting as a trusted point of contact for travelers seeking assistance, information, and support.

You will manage schedules, organize critical documentation, coordinate travel logistics, resolve customer concerns, and contribute ideas that improve the way arenaflex operates. Key Responsibilities

Administrative Support

  • Manage complex calendars, schedules, and appointments for team members, leadership, and clients across multiple time zones.
  • Organize, format, and maintain documents, reports, presentations, and internal records using the Microsoft Office suite and modern cloud-based tools.
  • Perform accurate and timely data entry to ensure client records, booking files, and operational databases remain current and reliable.
  • Collaborate with internal departments to streamline administrative workflows, reduce redundancies, and improve turnaround times.
  • Prepare meeting agendas, take detailed minutes, and follow up on outstanding action items to support team productivity.
  • Assist with vendor communications, invoice tracking, and light project coordination as needed.

Customer Service & Client Experience

  • Serve as a primary point of contact for customer inquiries delivered via phone, email, live chat, and other digital channels.
  • Assist clients with booking new travel arrangements, modifying existing reservations, processing cancellations, and navigating itinerary changes.
  • Address customer concerns, complaints, and unexpected issues with empathy, professionalism, and a solutions-driven mindset.
  • Build long-term relationships with clients by delivering personalized service, remembering preferences, and anticipating future needs.
  • Educate clients on arenaflex offerings, policies, travel requirements, and value-added services to enhance their experience.
  • Escalate complex issues to senior team members when appropriate, while ensuring the client feels heard and supported throughout the process.

Communication & Coordination

  • Manage inbound and outbound communication with clients, vendors, partners, and internal stakeholders, ensuring exchanges remain clear, courteous, and effective.
  • Relay time-sensitive information, updates, and travel advisories to the appropriate parties within the organization.
  • Maintain accurate and detailed records of customer interactions, transactions, and communications within arenaflex’s database and CRM systems.
  • Draft professional correspondence including confirmations, follow-up messages, and service-related communications.

Process Improvement & Innovation

  • Identify opportunities to optimize administrative and customer service processes, reducing friction and improving response times.
  • Propose innovative solutions, templates, and best practices that elevate the customer experience and operational effectiveness.
  • Participate in team training, knowledge sharing, and continuous improvement initiatives led by arenaflex leadership.
  • Monitor key performance metrics and contribute insights that help shape service standards and quality benchmarks.

Qualifications

Essential Qualifications

  • High school diploma or equivalent; an associate or bachelor’s degree in business administration, communications, hospitality, or a related field is preferred.
  • Previous experience in administrative support, customer service, or a related client-facing role, ideally within the travel, hospitality, or service industry.
  • Exceptional organizational and time management skills with the ability to multitask, prioritize, and meet deadlines in a remote environment.
  • Strong attention to detail and a commitment to accuracy in data entry, document management, and written communication.
  • Proficiency with computer software, database systems, and advanced knowledge of the Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
