Position Overview

The Part‑Time Data Entry Clerk role is a critical backbone position that ensures the accuracy, timeliness, and confidentiality of our financial and operational records. Working 16–25 hours per week, you will support the accounting, procurement, and field teams by entering data, maintaining filing systems, and preparing reports that enable smooth business operations. Key Responsibilities

  • Data Entry & Accuracy: Enter accounts payable invoices, purchase orders, equipment inventory updates, and confidential employee or departmental files with a minimum typing speed of 50 wpm while maintaining a 99.5% error‑free rate.
  • Document Management: Organize, file, and retrieve electronic and paper records in accordance with arenaflex’s record‑keeping policies, ensuring compliance with industry standards and internal controls.
  • Report Preparation: Copy, collate, and format reports, mailing lists, meeting agendas, and other correspondence for internal and external distribution.
  • Quality Assurance: Proofread all entered data and generated documents for spelling, numerical accuracy, and proper formatting before final submission.
  • Office Equipment Utilization: Operate scanners, multi‑function printers, and other office equipment efficiently, performing routine maintenance and troubleshooting minor issues.
  • Process Improvement: Identify opportunities to streamline data entry workflows, suggest enhancements to filing systems, and assist in the implementation of best practices.
  • Collaboration & Communication: Work closely with the accounting, procurement, and field service teams to resolve discrepancies, answer queries, and support cross‑functional initiatives.
  • Ad‑hoc Projects: Take on additional tasks as assigned, such as assisting with inventory audits, preparing vendor communications, or supporting special events.

Essential Qualifications

  • High school diploma or equivalent; associate degree in business administration, accounting, or a related field is a plus.
  • Proven ability to type at least 50 words per minute with high accuracy.
  • Strong proofreading skills and meticulous attention to detail.
  • Proficiency in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) or comparable software.
  • Basic understanding of office equipment operation and routine maintenance.
  • Familiarity with clerical procedures, including recordkeeping, filing, and document control.
  • Demonstrated ability to work independently, prioritize tasks, and solve problems without constant supervision.
  • Excellent organizational skills and the capacity to manage multiple responsibilities simultaneously.

  • Experience in a landscaping, construction, or field‑service environment.
