Key Responsibilities

Data Entry and Information Management

  • Accurately enter, update, and maintain client data, travel itineraries, booking confirmations, and travel-related details across internal databases and customer relationship management (CRM) systems.
  • Verify the accuracy and completeness of all data entries, performing routine audits to ensure information integrity and consistency across platforms.
  • Generate, compile, and distribute detailed reports related to client bookings, customer interactions, travel trends, and operational statistics.
  • Organize digital records and ensure all documentation is properly archived and easily retrievable for team members and management.
  • Identify and correct discrepancies in records, working proactively to resolve data inconsistencies before they affect client experiences.

Travel Booking and Itinerary Planning

  • Assist clients in researching, planning, and booking comprehensive travel itineraries, including flights, hotels, resorts, vacation rentals, car rentals, cruises, tours, and on-the-ground activities.
  • Provide expert, personalized recommendations on destinations, travel packages, seasonal offerings, and value-added travel services tailored to each client's preferences and budget.
  • Manage and update booking information in real time, ensuring all reservations align accurately with client specifications, preferences, and special requests.
  • Coordinate complex multi-leg travel arrangements, including international itineraries, group bookings, and corporate travel plans.
  • Handle all aspects of the booking lifecycle, from initial inquiry through post-travel follow-up, ensuring a seamless and enjoyable experience for every client.

Customer Service and Client Relations

  • Deliver exceptional customer service across multiple communication channels, including phone, email, live chat, and ticketing systems, addressing client needs with warmth, professionalism, and empathy.
  • Respond promptly to travel-related inquiries, providing accurate information and timely resolutions to questions about destinations, documentation, visa requirements, and travel logistics.
  • Assist clients with changes, cancellations, modifications, upgrades, and special accommodations to their travel plans, advocating on their behalf with suppliers and partners when necessary.
  • Proactively follow up with clients after travel to ensure satisfaction, gather valuable feedback, and identify opportunities for additional services or future bookings.
  • Build lasting relationships with clients, becoming a trusted advisor they turn to for all their future travel needs.

Scheduling and Administrative Coordination

  • Coordinate and schedule travel arrangements, meetings, virtual consultations, and appointments for both clients and internal team members.
  • Maintain organized, up-to-date schedules for multiple stakeholders, ensuring timely execution of travel plans and related tasks.
  • Prepare, review, and distribute itineraries, confirmations, travel documents, and supporting materials to clients in a clear and professional format.
  • Manage calendar conflicts, time zone differences, and last-minute changes with grace and efficiency.
  • Support team-wide scheduling initiatives and contribute to operational planning as needed.

Essential Qualifications

  • Proven experience as a travel agent, travel coordinator, or in a similar customer service-focused role, with a strong understanding of travel industry processes, terminology, and booking systems.
  • Excellent written and verbal communication skills, with the ability to convey complex information in a friendly, clear, and customer-centric manner.
  • Demonstrated proficiency with travel booking platforms, Global Distribution Systems (GDS), CRM software, Microsoft Office Suite, Google Workspace, and other relevant digital tools.
  • Strong organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines in a remote work environment.
  • Exceptional attention to detail with a high level of accuracy in handling bookings, data entry, and scheduling responsibilities.
