Key Responsibilities

  • Data Acquisition & Entry: Receive, validate, and input daily FBI fingerprint records into the Access database, ensuring 100% accuracy and adherence to privacy standards.
  • Compliance Verification: Cross‑check fingerprint submissions against TSA Clearinghouse data, U.S. Customs records, and internal HR policies to confirm completeness and correctness.
  • Document Management: Maintain organized electronic files for each employee’s background check, including CHRC (Criminal History Records Check) results, TSA clearance letters, and related correspondence.
  • Issue Resolution: Identify and troubleshoot data discrepancies, liaise with TSA, Customs, and internal stakeholders to resolve mismatches promptly.
  • Reporting & Analytics: Generate custom dashboards and detailed compliance reports for senior HR leadership, highlighting trends, audit findings, and corrective actions.
  • Process Improvement: Collaborate with the HRIS team to streamline data flow between Access, HRIS, and EC systems, recommending automation opportunities where feasible.
  • Stakeholder Collaboration: Work closely with internal HR partners, external vendors, and government agencies to ensure seamless communication and timely data exchange.
  • Audit Support: Conduct internal audits of fingerprint and background check records, preparing documentation for external regulatory reviews.
  • Training & Guidance: Educate department staff on compliance requirements, data entry best practices, and the proper handling of sensitive personal information.

Essential Qualifications

  • Bachelor’s degree in Business Administration, Human Resources, Information Systems, or a related field.
  • Minimum of 2 years of experience in data entry, HR compliance, or a similar role that required handling sensitive government‑related data.
  • Proficiency with Microsoft Access, Excel (including VLOOKUP, PivotTables, and advanced formulas), and familiarity with HRIS platforms.
  • Strong understanding of TSA Clearinghouse processes, CHRC procedures, and U.S. Customs regulations.
