About the Role

The Online Chat Support Specialist – HR Operations & Call Center Engagement at arenaflex plays a pivotal role in supporting the daily operations of our call center while strengthening our human resources functions. You will provide real-time assistance to employees and candidates through online chat platforms, ensuring that inquiries are resolved promptly, professionally, and with empathy. Beyond chat support, you will actively contribute to recruitment, onboarding, employee relations, training coordination, compliance, and general HR administration.

This position requires a unique blend of interpersonal warmth, administrative precision, and technical fluency. You will be the first point of contact for many HR-related questions, the organizer behind smooth onboarding experiences, and a reliable partner to call center leadership. Your work will directly influence employee satisfaction, retention, and the overall effectiveness of HR service delivery across the organization.

Key Responsibilities

Recruitment and Onboarding Coordination

  • Assist the HR team in drafting, publishing, and maintaining job postings across multiple platforms to attract top talent.
  • Conduct initial resume screenings and evaluate candidates against role-specific qualifications and cultural fit indicators.
  • Coordinate interview scheduling between candidates, hiring managers, and interview panels, ensuring a seamless and professional experience.
  • Facilitate new hire onboarding activities, including welcome communications, orientation scheduling, document collection, and integration support.
  • Serve as a chat-based point of contact for new hires during their first weeks, answering questions and helping them acclimate to arenaflex.

Employee Relations and Engagement

  • Act as a primary contact for HR-related inquiries from call center employees, addressing concerns via online chat, email, and occasional phone communication.
  • Support employee engagement initiatives by gathering feedback, sharing information about upcoming programs, and encouraging participation.
  • Help identify and address workplace issues proactively, escalating complex matters to senior HR personnel as appropriate.
  • Promote a positive and inclusive workplace culture by modeling professionalism, empathy, and respect in every interaction.

HR Administration and Record Management

  • Maintain accurate, confidential, and up-to-date employee records, including attendance, performance documentation, and personnel files.
  • Process HR paperwork such as employment contracts, status change forms, policy acknowledgments, and termination documentation.
  • Ensure that all employee data is handled in compliance with company policies and applicable privacy regulations.
  • Support audits and reporting cycles by organizing and verifying HR documentation in a timely manner.

Training and Development Support

  • Help organize, schedule, and coordinate training sessions, workshops, and professional development programs for call center staff.
  • Track employee training progress, maintain training records, and generate reports on completion and effectiveness.
  • Communicate upcoming learning opportunities to employees via chat and internal platforms, encouraging continuous growth.
  • Partner with trainers and department leaders to identify skill gaps and recommend relevant development resources.

Compliance, Reporting, and Coordination

  • Ensure that all HR activities align with company policies, internal procedures, and applicable employment laws.
  • Prepare, maintain, and present HR reports covering staffing levels, turnover trends, attendance patterns, and other key metrics.
  • Collaborate closely with HR team members on cross-functional initiatives, special projects, and process improvements.
  • Coordinate with call center management to anticipate staffing needs, support workforce planning, and address operational gaps.

Qualifications and Experience

Essential Qualifications

  • Education: Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Experience: A minimum of two years of hands-on experience in an HR role, preferably within a call center, customer service, or high-volume operational environment.
  • Organizational Skills: Demonstrated ability to manage multiple priorities, meet deadlines, and maintain meticulous attention to detail.
  • Communication Skills: Exceptional written and verbal communication abilities, with a tone that is warm, clear, and professional.
  • Interpersonal Skills: Strong ability to build rapport, listen actively, and respond with empathy across diverse audiences.

Preferred Qualifications

  • Prior experience supporting chat-based customer or employee interactions.
  • Familiarity with Applicant Tracking Systems (ATS) and Human Resources Information Systems (HRIS).

Technical Proficiency
