Role Overview

The Remote Data Entry Clerk – Inmate Management & Classification Data Specialist is a critical member of arenaflex’s Records & Classification Services team. Working from any location within the United States, you will be responsible for entering, verifying, and maintaining high‑volume inmate data across multiple modules, including job assignments, housing placements, classification scores, and disciplinary records. Your meticulous attention to detail will ensure that correctional staff have reliable, up‑to‑date information for operational planning, gain‑time calculations, and compliance reporting.

Key Responsibilities

In this role you will:

  • Enter daily updates into the central inmate database, covering external and internal movements, job and housing assignments, program participation, and classification team assignments.
  • Generate and distribute computer print‑outs of inmate job and housing assignments to supervisors for gain‑time evaluations, ensuring all gain‑time entries are accurately reflected in the system.
  • Post database information onto inmate jacket and rolodex cards, maintaining up‑to‑date records of job, housing, custody reclassification, and detainer status.
  • Prepare, run, and disseminate weekly print‑outs such as the inmate alpha list, team list, and transfer list for use by classification and records supervisors.
  • Assist the Records Supervisor in locating inmate records within the offender tracking database, providing timely support for inquiries and audits.
  • Produce specialized reports (e.g., TRD list, DOB list, education reports, sex offender lists) on demand, ensuring compliance with internal and external reporting requirements.
  • Verify the accuracy of all entries, performing cross‑checks against source documents and flagging discrepancies for correction.
  • Serve as a backup to the Correctional Sentence Specialist, stepping in to maintain continuity of operations during absences or peak periods.
  • Continuously monitor production metrics, meeting or exceeding minimum speed and accuracy thresholds established by arenaflex.

Essential Qualifications

To succeed in this position, candidates must demonstrate the following:

  • Education: High school diploma or equivalent (GED). Candidates with additional coursework in office administration, criminal justice, or data management are encouraged to apply.

  • Reliability: Consistent attendance, adherence to deadlines, and a track record of meeting production standards for speed and accuracy.

Preferred Qualifications & Additional Skills

  • Experience with document management systems or electronic health record platforms.
  • Certification in office administration, data management, or a related field.
  • Ability to troubleshoot minor technical issues and suggest process improvements.
  • Demonstrated commitment to confidentiality and data security, especially when handling sensitive inmate information.
