Position Summary

arenaflex is currently hiring a dedicated and personable Remote Customer Care Specialist to join our growing client experience team. In this fully remote, full-time role, you will serve as the primary point of contact for our clients, guiding them through every stage of their travel journey — from the first inquiry to the final farewell. You will be responsible for answering questions, resolving concerns, crafting personalized itineraries, and ensuring that each interaction reflects the warmth, professionalism, and precision that arenaflex is known for.

Key Responsibilities

  • Serve as the primary remote point of contact for clients, warmly and efficiently addressing inquiries related to travel bookings, reservations, itineraries, and general travel questions.
  • Provide personalized support and tailored recommendations to clients, ensuring that their travel preferences, budgets, and expectations are not just met — but exceeded.
  • Coordinate end-to-end travel arrangements, including flights, accommodations, ground transportation, excursions, and special activities, to build customized itineraries that align with each client's vision.
  • Liaise with travel partners, suppliers, and vendors to secure bookings, confirm reservations, and obtain timely updates, while maintaining clear and accurate communication throughout the process.
  • Maintain detailed and organized records of all client interactions, bookings, expenses, preferences, and follow-up activities, ensuring full compliance with arenaflex's confidentiality and data-handling standards.
  • Proactively identify and resolve client concerns, escalating complex issues to the appropriate team members when necessary while keeping the client informed every step of the way.
  • Collaborate with fellow team members across departments to ensure a seamless, consistent, and positive client experience from initial contact through post-trip follow-up.
  • Stay informed about emerging travel trends, destination updates, visa requirements, and industry best practices to provide informed and current guidance to clients.
  • Contribute to continuous improvement efforts by sharing client feedback, suggesting process enhancements, and participating in team training and development initiatives.

Essential Qualifications

  • Previous professional experience in customer service, hospitality, travel, or a related client-facing field is strongly preferred.
  • Outstanding verbal and written communication skills, with the ability to convey information clearly, warmly, and professionally across email, phone, chat, and video platforms.
  • Demonstrated ability to empathize with clients, actively listen, and resolve concerns with patience and care.
