As an Air Customer Service Specialist at arenaflex, you will play a critical role in supporting our guests, travel agents, airlines, and internal teams by managing air travel reservations, troubleshooting issues, and ensuring seamless experiences for both vacationers and crew members. This position offers the flexibility of working from home while being part of a collaborative, supportive team that spans the entire United States.

Position Summary

As an Air Customer Service Specialist at arenaflex, you will be the primary point of contact for air travel-related inquiries, modifications, and escalations. You will handle a high volume of phone calls, chat messages, emails, and voicemails, providing accurate and timely assistance to guests, travel agents, airlines, and internal stakeholders. Your work will directly impact guest satisfaction, crew logistics, and operational efficiency. This role requires strong problem-solving skills, attention to detail, and the ability to communicate effectively with diverse audiences. Key Responsibilities

Guest and Travel Agent Support

  • Answer inbound phone calls and respond to chat messages regarding air travel issues, providing courteous, accurate, and efficient service.
  • Respond to emails and voicemails promptly, ensuring all messages are relayed accurately to the appropriate parties.
  • Assist guests and travel agents with enroute issues, offering solutions that minimize disruption and maximize satisfaction.
  • Provide downline communication to port agents, hotels, and ground transportation providers as needed.

Reservation Management and Ticketing

  • Amend major schedule changes and perform ticketing activities including issuance, refunds, and exchanges.
  • Track and resolve incomplete Passenger Name Records (PNR) due to missing TSA data or absent airfares.
  • Realign pricing within PNRs to ensure records are re-priced correctly and additional funds are collected outside of final payment.
  • Certify all air tickets issued for passengers by updating the ticket match exception report.
  • Assign ancillary services to guests upon request, enhancing their overall travel experience.

Crew and VIP Travel Coordination

  • Process guest entertainment, crew executive travel, and VIP requests with discretion and attention to detail.
  • Research air schedules booked for crew members to ensure alignment with budget guidelines.
  • Process last-minute crew changes related to air accommodations, adapting quickly to evolving needs.
  • Provide next port protection coverage, including flight re-accommodation, for passengers requiring urgent assistance.

Communication and Collaboration

  • Communicate effectively with customers, co-workers, and management to reduce errors and improve service delivery.
  • Work shipboard email inboxes to address time-sensitive inquiries from shipboard teams.
  • Monitor phone volume and ensure queues are worked on a daily basis to maintain service level standards.
  • Support and uphold arenaflex Culture Essentials in all interactions.

Additional Duties

  • Demonstrate commitment to arenaflex core values through daily behaviors and performance.

  • Complete any additional duties as assigned by leadership within the scope of the position.

Essential Qualifications and Requirements

  • Previous experience in the travel and hospitality industry, preferably in a high-volume call center environment.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Excellent phone etiquette and customer service skills.
  • Strong verbal and written communication abilities, with the capacity to interact professionally with travel suppliers, port agents, crew members, employees, other departments, and management.
  • Comprehensive knowledge of the Sabre airline reservation system, including creation of air bookings, ticketing, exchanges, pricing, routing, and queue processing.
  • Must be legally authorized to work in the United States. arenaflex is unable to sponsor or take over sponsorship of employment visas at this time (e.g., H-1B status).
  • Ability to work a flexible schedule, including evenings, weekends, and holidays as needed.

Preferred Qualifications

  • Prior experience working remotely in a customer service capacity.
  • Familiarity with cruise line operations or airline industry standards.
  • Multilingual capabilities are a plus.
  • Experience handling escalated customer situations with empathy and professionalism.
  • Strong organizational skills and the ability to manage multiple tasks simultaneously.
