Position Overview

We are seeking a motivated, detail‑oriented Remote Data Entry & Virtual Assistant to join our growing team of patient‑focused professionals. In this full‑time role, you will provide comprehensive clinical support, manage patient documentation, and ensure the smooth operation of virtual health workflows. You will be the bridge between patients, clinicians, and our electronic health record (EHR) systems, delivering accurate data entry, scheduling, and follow‑up while upholding the highest standards of patient safety and confidentiality.

Key Responsibilities

Clinical Data Management & Patient Interaction

  • Enter, verify, and maintain patient records in the arenaflex EHR with a focus on accuracy, completeness, and compliance with HIPAA regulations.
  • Conduct virtual intake interviews, gathering comprehensive health histories, medication lists, and lifestyle information.
  • Document clinical assessments, diagnoses, treatment plans, and patient education notes in a clear, evidence‑based manner.
  • Coordinate vaccination and infusion documentation (e.g., COVID‑19, flu, TB, Depo) and provide patient counseling on immunization schedules.
  • Facilitate follow‑up appointments, lab orders, and referrals, ensuring patients receive timely reminders and instructions.

Operational & Administrative Support

  • Manage virtual clinic opening and closing protocols, including inventory checks, safety inspections, and environment readiness.
  • Oversee patient flow, appointment scheduling, and real‑time updates to minimize wait times and maximize care efficiency.
  • Maintain a clean, organized virtual workspace, adhering to infection‑control standards and personal protective equipment (PPE) requirements when on‑site.
  • Support the clinical team with documentation of quality improvement initiatives, performance metrics, and compliance reporting.

Patient Education & Engagement

  • Provide health coaching on lifestyle modifications, chronic disease management, and preventive care strategies.
  • Encourage patients to become active participants in their care by offering resources such as wellness screenings, social determinants of health assessments, and self‑management tools.
  • Deliver culturally sensitive education in multiple languages, with a particular emphasis on Spanish when needed.

Essential Qualifications

  • Minimum two (2) years of relevant clinical or health‑service experience, preferably in a fast‑paced retail or telehealth setting.
  • Current Basic Life Support (BLS) certification, including proficiency in CPR and AED operation.
  • Successful completion of a background check and the ability to pass a FIT (Fit for Duty) assessment, including proper use of respirators when required.
  • Demonstrated ability to complete a Skills Verification Test within 30 days of hire.
  • Fluency in English with the ability to communicate effectively in at least one additional language (Spanish preferred).
  • Strong computer literacy, including experience with EHR platforms, Microsoft Office Suite, and virtual communication tools (e.g., Zoom, Teams).

Preferred Qualifications

  • Graduated from an accredited Physician Assistant (PA) or Nurse Practitioner (NP) program with a state license to practice.
  • Prior experience in a virtual or remote clinical environment, including telemedicine triage or virtual health coaching.
  • Experience with quality improvement projects, patient safety initiatives, or health‑system accreditation processes.
  • Additional certifications such as Certified Medical Assistant (CMA) or Certified Clinical Documentation Specialist (CCDS).
