Our mission is to transform raw information into actionable insights, and we rely on meticulous data entry professionals to keep our digital repositories clean, organized, and instantly accessible.

Why This Role Matters

In today’s data‑centric economy, the accuracy of every invoice, client record, and financial statement can influence strategic decisions, compliance outcomes, and customer satisfaction. As a Remote Data Entry Clerk at arenaflex, you will be the guardian of that data, ensuring that every piece of information is captured precisely, stored securely, and readily available for analysis. Your work will directly support cross‑functional teams—including finance, sales, and operations—by providing them with reliable data foundations on which they can build robust reporting, forecasting, and decision‑making processes.

Key Responsibilities

  • Data Collection & Digitization: Gather physical documents such as invoices, canceled bills, client contracts, and financial statements; convert them into digital formats using industry‑standard tools.
  • Accurate Data Entry: Input client information, transaction details, and inventory records into arenaflex’s electronic storage system with a focus on speed and error‑free accuracy.
  • File Management & Organization: Maintain a meticulously organized digital filing structure, ensuring that each entry is correctly categorized, tagged, and searchable.
  • Hard‑Copy Archiving: Store and index physical copies of critical documents in a secure, orderly manner that complies with internal policies and regulatory requirements.
  • Standard Development & Continuous Improvement: Contribute to the evolution of data entry standards by recommending enhancements to filing systems, naming conventions, and validation rules.
  • Data Quality Assurance: Identify inconsistencies, missing fields, or duplicate records; collaborate with administrative staff to resolve discrepancies promptly.
  • Issue Reporting & Communication: Escalate major data errors or system anomalies to management, providing clear documentation and suggested corrective actions.
  • Best Practices Adherence: Follow arenaflex’s data governance policies, ensuring confidentiality, security, and compliance with industry standards.
  • Collaboration & Support: Work closely with team members across departments to answer data‑related queries, support ad‑hoc reporting requests, and assist in special projects.

Essential Qualifications

  • High school diploma or GED (or equivalent).
  • Minimum of 1 year proven experience in a data entry or similar administrative role.
  • Demonstrated proficiency with data entry platforms such as Ninox, Kintone, and OmPrompt Order Management.
  • Exceptional typing speed (70+ wpm) with a high degree of accuracy.
  • Strong familiarity with Windows operating systems, Microsoft Office suite, and Google Workspace.
  • Excellent organizational abilities and a keen eye for detail, enabling rapid detection of errors and inconsistencies.

  • Experience with additional data management tools (e.g., Airtable, Smartsheet, or Microsoft Power Automate).
  • Familiarity with basic data validation techniques and spreadsheet formulas.
  • Exposure to industry‑specific regulations such as GDPR, HIPAA, or SOX, especially when handling sensitive client data.
  • Previous remote work experience, demonstrating self‑motivation and disciplined work habits.
  • Knowledge of document scanning hardware and OCR (Optical Character Recognition) software.

Core Skills & Competencies

  • Attention to Detail: Ability to spot typographical errors, misplaced digits, and formatting inconsistencies.
  • Analytical Thinking: Evaluate data for completeness and logical consistency before final submission.
  • Problem‑Solving: Quickly identify root causes of data gaps and propose practical solutions.
  • Communication: Articulate data‑related issues clearly to both technical and non‑technical stakeholders.
