About arenaflex – Transforming Healthcare Through Compassionate Service

arenaflex is a nationally recognized quality‑improvement and care‑management organization dedicated to ensuring that millions of Americans receive the right care, at the right time, in the right setting. Our mission‑driven culture puts people first—both the patients we serve and the talented professionals who power our operations. As a rapidly expanding leader in the health‑services sector, arenaflex invests heavily in employee development, innovative technology, and a collaborative environment where every voice matters.

Why This Role Matters

Our Customer Service Representatives are the front line of communication for beneficiaries, providers, and internal teams. In this remote, full‑benefits position, you will play a pivotal role in the Review Team, handling complex appeals, crafting clear correspondence, and ensuring that every interaction reflects arenaflex’s commitment to quality, empathy, and accuracy. If you thrive in a dynamic, mission‑focused setting and want to make a tangible difference in the lives of vulnerable populations, this is the opportunity for you.

Key Responsibilities – What You’ll Do Every Day

  • Answer the Beneficiary Helpline using the hunt‑group system, assess caller needs, and either provide direct assistance or refer callers to appropriate external agencies while accurately documenting referrals in the CMS system.
  • Draft, merge, proofread, and mail letters and other correspondence, ensuring each document is free of grammatical, spacing, and formatting errors and dispatched on schedule.
  • Validate notices and medical record components, extracting essential information to support appeal intake and case review processes.
  • Provide comprehensive intake for all appeals received, entering data into arenaflex’s case management platform with precision and confidentiality.
  • Maintain effective verbal and written communication with external customers, gathering and delivering review information in a courteous, patient‑focused manner.
  • Collaborate with internal stakeholders to identify process improvement opportunities, contributing insights from case reviews and daily workflow observations.
  • Utilize internal quality‑control tools to assess personal performance and team processes, recommending enhancements that drive efficiency and accuracy.
  • Foster strong working relationships between arenaflex’s internal departments and external partners, acting as a trusted liaison that promotes seamless information flow.
  • Adhere to arenaflex’s customer‑service guidelines, standards, and compliance requirements, ensuring every interaction aligns with regulatory and ethical expectations.

Essential Qualifications – What You Need to Succeed

  • Education: High school diploma or equivalent; post‑secondary business coursework is a plus.
  • Experience: 2–3 years of clerical experience, including word processing, filing systems, and telephone‑based customer service. Prior exposure to healthcare environments or medical terminology is highly desirable.
  • Communication Skills: Excellent verbal communication, a courteous and patient demeanor, and strong written abilities—including grammar, punctuation, and spelling.
  • Technical Proficiency: Comfortable navigating PC‑based systems; ability to learn new software packages quickly.
  • Organizational Ability: Demonstrated capacity to multitask, prioritize assignments, and work independently while meeting deadlines.
  • Interpersonal Skills: Customer‑focused, results‑oriented, and capable of building and maintaining relationships with both internal and external stakeholders.
  • Adaptability: Flexibility to work rotating shifts across EST, CST, or PST time zones and to support a remote work environment.

Preferred Qualifications – Nice‑to‑Have Extras

  • Formal training or certification in medical terminology, health‑care administration, or related fields.
  • Experience with case‑management or claims‑processing software, especially CMS platforms.
  • Demonstrated track record of process improvement initiatives or participation in quality‑control projects.
  • Familiarity with HIPAA regulations and best practices for handling protected health information.
  • Previous remote work experience, showcasing self‑discipline and effective virtual collaboration.

Core Skills & Competencies

  • Attention to Detail: Ability to spot errors in correspondence, data entry, and documentation.
  • Problem‑Solving: Quick decision‑making when handling complex appeals and ambiguous situations.
  • Empathy: Genuine concern for beneficiaries’ wellbeing, translating into patient‑centered communication.
  • Time Management: Efficiently balancing multiple tasks while maintaining high quality standards.
  • Team Collaboration: Working cooperatively with cross‑functional teams to achieve shared goals.
