As a Medical Billing Customer Experience Team Lead, you will be the linchpin that connects patients, providers, and payers, ensuring that every claim is processed efficiently, every denial is addressed proactively, and every patient receives the financial guidance they need. Key Responsibilities

Reporting to the Regional Manager of Revenue Cycle Operations, you will lead a team of specialists and perform hands‑on duties that span the entire RCM spectrum. Your day‑to‑day responsibilities will include:

  • Denial Management: Investigate, appeal, and resolve claim denials across all payer types, ensuring re‑submission and payment within established service level agreements.
  • Pre‑Registration & Authorization: Conduct eligibility checks, obtain prior authorizations, and verify patient coverage before services are rendered.
  • Patient Financial Contact Center (PFCC) Functions: Serve as the primary point of contact for patients’ billing inquiries, providing clear, compassionate explanations of financial responsibilities.
  • Team Leadership: Coach, mentor, and develop a team of billing specialists, fostering a culture of continuous improvement and high‑performance.
  • Collaboration: Partner with internal departments—such as Clinical Operations, Compliance, and IT—to resolve complex billing issues and streamline workflows.
  • Data Analysis & Reporting: Utilize arenaflex’s proprietary billing platforms and analytics tools to generate daily, weekly, and monthly performance reports, highlighting trends, root causes, and opportunities for process optimization.
  • Compliance & Documentation: Ensure all billing activities adhere to HIPAA, Medicare, Medicaid, and commercial payer regulations, maintaining meticulous records for audit readiness.
  • Continuous Improvement: Lead initiatives to refine standard operating procedures, implement automation where feasible, and reduce manual touchpoints.
  • Customer Service Excellence: Deliver superior service to both patients and insurance representatives, maintaining professionalism, empathy, and accuracy in every interaction.

Essential Qualifications

To thrive in this role, you must bring a blend of technical expertise, industry knowledge, and leadership acumen. The following qualifications are required:

  • Minimum of 4 years experience in denial management, accounts receivable (AR) collection, pre‑registration, or authorization within the U.S. healthcare system.
  • Demonstrated proficiency with EPIC or comparable electronic health record (EHR) systems; EPIC experience is highly preferred.
  • Strong understanding of healthcare payer reimbursement models, including Medicare, Medicaid, and commercial insurance.
  • Excellent oral and written communication skills, with the ability to articulate complex billing concepts to non‑technical audiences.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) and comfort navigating web‑based billing platforms.
  • Ability to work independently, prioritize multiple tasks, and meet strict deadlines while maintaining a high level of accuracy.
  • Professional demeanor, strong ethics, and a customer‑first mindset.
  • Typing speed of at least 40 words per minute with high data‑entry accuracy.

Preferred Qualifications & Additional Skills

  • Certification in Medical Billing & Coding (CPC, CCS) or a related credential.
  • Experience with revenue cycle analytics tools such as Power BI, Tableau, or arenaflex’s proprietary dashboards.
  • Knowledge of PFCC best practices and patient financial counseling techniques.
  • Prior leadership or supervisory experience in a remote or virtual environment.
  • Familiarity with compliance frameworks such as OIG guidelines, MACRA, and the Affordable Care Act (ACA) provisions.
  • Demonstrated ability to drive process improvement projects that result in measurable reductions in denial rates or days in accounts receivable.
