Position Overview

Under the guidance of the Director of Continuing Legal Education & Section Programming, the Continuing Legal Education Data Entry Clerk (DEC) will play a pivotal role in the planning, execution, and post‑event processing of the 2024 arenaflex Legal Conference. This temporary, full‑time position (35 hours per week) is non‑exempt and offers an hourly wage ranging from $19 to $21. The DEC will be responsible for preparing seminar documentation, supporting on‑site logistics, and ensuring that all post‑conference data is accurately captured, credited, and communicated to presenters and participants.

Key Responsibilities

Pre‑Conference Preparation

  • Collaborate with the CLE team to assemble and organize all required documents for each seminar, including speaker bios, handouts, and accreditation forms.
  • Assist in the logistical setup of seminar rooms, ensuring that technology, signage, and seating arrangements meet the specifications of each session.
  • Maintain a master schedule of seminar activities, tracking speaker arrivals, equipment needs, and any special accommodations.
  • Conduct final checks of all printed and digital materials to guarantee completeness and compliance with arenaflex standards.

On‑Site Seminar Management

  • Provide hands‑on support during the conference, overseeing the smooth start and conclusion of each seminar.
  • Facilitate registration check‑ins, distribute attendee packets, and manage on‑site documentation such as attendance sheets and feedback forms.
  • Coordinate with venue staff to address any technical issues, room changes, or unexpected challenges promptly.
  • Assist presenters and moderators with last‑minute requests, ensuring a professional and seamless experience for all participants.

Post‑Conference Data Processing

  • Collect, scan, and organize all post‑seminar documents, including attendance records, evaluation surveys, and speaker feedback.
  • Enter data into arenaflex’s CLE database with a focus on accuracy, ensuring that each attendee receives the appropriate continuing legal education credits.
  • Generate and distribute personalized thank‑you letters to speakers, organizers, and moderators, attaching relevant survey results and performance metrics.
  • Provide comprehensive reports to the Director, highlighting seminar attendance trends, credit allocations, and areas for improvement.

Additional Duties

  • Support other members of the CLE department with ad‑hoc projects, such as updating website content, preparing marketing collateral, or assisting with future event planning.
  • Maintain confidentiality of all participant and speaker information in accordance with privacy policies and professional standards.
  • Participate in regular team meetings, offering insights and suggestions to enhance operational efficiency.
  • Perform any other tasks assigned by the Director or senior leadership to further the mission of arenaxflex.

Essential Qualifications

  • Experience: 1–3 years of hands‑on experience with spreadsheets, document management, or office administration, preferably within a nonprofit or professional association setting.
  • Technical Proficiency: Advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and SharePoint; comfortable navigating and updating database systems.
  • Interpersonal Skills: Demonstrated ability to engage with diverse groups, from senior attorneys to first‑time conference attendees, with a courteous and professional demeanor.
  • Organizational Acumen: Exceptional ability to prioritize tasks, manage multiple deadlines, and switch quickly between responsibilities without sacrificing quality.
  • Physical Capability: Ability to lift up to 50 pounds and remain on your feet for extended periods, including long shifts (12 + hours) during the conference.
  • Communication: Strong written communication skills for drafting thank‑you letters, email correspondence, and concise data summaries.

Preferred Qualifications

  • Prior experience with event‑production software or specialized CLE management platforms.
  • Familiarity with accreditation processes for continuing legal education credits.
