Position Overview

The Data Entry Representative – Electronic Health Record (EHR) File Tech serves as an integral member of our multidisciplinary team, functioning under the direction and supervision of a dedicated Supervisor. This position is essential to maintaining the integrity of our electronic health record systems and ensuring that critical patient information is accurately filed, easily accessible, and properly maintained. As a member of the arenaflex team, you will provide professional, courteous, and friendly assistance to both internal and external customers, acting as a valuable resource by utilizing our established policies, protocols, and guidelines to deliver quality care within the framework of our organization.

Key Responsibilities

The Data Entry Representative will be responsible for performing a variety of critical tasks that directly impact patient care quality and operational efficiency. The following are the primary responsibilities associated with this role:

  • Accurate Health Information Placement: Ensures accurate placement of complex health information, including but not limited to clinical records, laboratory results, imaging reports, and other vital medical documentation, into the correct patient electronic health record within identified timeframes. This ensures that current patient information is readily available for continuity and quality of patient care.
  • Document Filing Accuracy: Files documents accurately in the EHR according to our approved filing structure. The individual must be able to adapt to changes in processes and meet quality standards of 98% accuracy in all filing activities.
  • Quality Assurance Targets: Ability to reach and maintain a quality assurance trust level ranging from 85% to 100% in the current EHR system. This demonstrates precision and attention to detail in all work completed.
  • Filing Rate Requirements: Ability to achieve precise filing at a rate of 55 pages per hour while maintaining accuracy and quality standards.
  • Independent Problem Solving: Prioritizes daily work to include problem solving and decision making, working independently with minimal direct supervision. The ideal candidate must be self-motivated and capable of managing multiple priorities effectively.
  • Time Management: Manages own time and work efficiently. Understands and follows through with minimal direction from supervisor, clinicians, colleagues, and peers. Strong organizational skills are essential for success in this role.
  • Research and Information Retrieval: Researches patient information in the computer system to determine location of care, Medical Record Number, Medical Identification Number, medical terminology, and related information to ensure accurate record placement.
  • Autonomous Decision Making: Evaluates issues and makes decisions autonomously for less complex issues. Seeks guidance from supervisor for complex issue resolution when necessary.
  • Quality Assurance Activities: Performs quality assurance activities to ensure accuracy of filing and identifies any discrepancies or errors in the documentation process.
  • Provider Communication: Appropriately tasks providers for review of scanned documents per accepted protocol, ensuring that all documentation receives proper clinical oversight.
  • Customer Service Excellence: Demonstrates a positive customer service approach in all internal and external customer experiences, represents arenaflex with professionalism and warmth.
  • Professional Development: Identifies opportunities for self-development and understands the expectations of developing additional competencies. Shows initiative in learning new systems and processes.
  • Open Communication: Shares information or concerns openly and honestly with team members and supervisors, contributing to a positive and collaborative work environment.

Essential Qualifications

To be considered for this position, candidates must meet the following minimum qualifications:

  • Education: High School diploma or GED required. This is a mandatory requirement for all applicants.
  • Medical Terminology: General understanding of medical terminology, to include knowledge of diagnostic and therapeutic studies and tests, specialty names, anatomical terms, disease processes, and treatment protocols. Familiarity with medical language is essential for accurate document classification and filing.
  • Experience: A minimum of one year of customer service experience in a healthcare setting is required. candidates should have demonstrated success in patient-facing or healthcare administrative roles.
  • Technical Skills: Strong PC skills are required, including proficiency in Microsoft Office applications, data entry software, and basic computer troubleshooting.
  • EHR Experience: Previous Electronic Health Record (EHR) experience is required. Candidates must demonstrate familiarity with electronic medical record systems and their practical applications in healthcare settings.
  • Communication Skills: Ability to convey information to customers in a warm, clear, concise manner. Good oral and written communication skills are required for effective interaction with healthcare providers, patients, and team members.
  • Customer Service Orientation: Demonstrates positive customer service behaviors, including patience, empathy, professionalism, and a solutions-focused approach to addressing customer needs.

Preferred Qualifications

While not required, the following qualifications will give candidates a competitive advantage:

  • Health Information Technology Experience: A minimum of one year of Health Information Technology experience is preferred. This background provides valuable insight into the complexities of health information management.
  • Hyland OnBase Experience: Previous experience with Hyland OnBase Unity Client is highly preferred. Familiarity with this specific system will significantly accelerate the onboarding process and contribute to immediate productivity.
  • Additional Certifications: Relevant certifications in health information management, medical coding, or related fields are desirable.
  • Multi-Tasking Abilities: Demonstrated ability to handle high-volume work while maintaining accuracy and meeting deadlines.
