If you thrive in a fast‑paced, mission‑driven environment and are eager to contribute to an industry that literally moves the world, arenaflex offers a career where your impact is both tangible and far‑reaching.

Position Overview

We are seeking a detail‑oriented, proactive Data Entry & Expeditor Specialist to join our supply‑chain team in Charlotte. In this role, you will act as the bridge between external vendors, internal departments, and our logistics network, ensuring that aircraft parts and related materials are ordered, tracked, and delivered precisely when needed. Your work will directly support arenaflex’s commitment to operational excellence, on‑time performance, and regulatory compliance.

Key Responsibilities

  • Coordinate directly with external suppliers to expedite the delivery of aircraft parts, aligning shipments with arenaflex’s material requirements and flight schedules.
  • Process AOG (Aircraft on Ground) orders promptly, prioritizing critical items to minimize aircraft downtime.
  • Follow up on overdue purchase orders, communicating status updates and resolution steps to vendors.
  • Maintain and update maintenance/transportation plans and inventory reports to reflect real‑time material needs.
  • Distribute transportation and shipping information to large, cross‑functional teams, ensuring visibility across operations, engineering, and finance.
  • Revise and reconcile FMR (Flight Maintenance Records) or log sheets with current aircraft data to guarantee accuracy.
  • Generate and maintain status reports, dashboards, and visual charts that illustrate inventory health and supply‑chain performance.
  • Enter purchasing records and data into arenaflex’s procurement software, ensuring data integrity and compliance with internal controls.
  • Assist buyers by providing clarifications on order status, delivery estimates, and any discrepancies that arise.
  • Collaborate with internal departments and suppliers to resolve issues related to shipping, invoicing, quality, part numbers, and aggregate quantities.
  • Support supervisors in resolving receipt discrepancies, ensuring that all inbound material matches purchase documentation.
  • Participate in supplier meetings to identify and mitigate potential risks, fostering strong vendor relationships.
  • Perform pre‑planning and early‑stage coordination for upcoming projects, ensuring that all required parts are available ahead of schedule.

Essential Qualifications

  • Bachelor’s degree in Business Administration, Supply Chain Management, Aviation Management, or a related field.
  • Minimum of 1 year of experience in a warehouse, expediting, or manufacturing environment, preferably within the aviation or aerospace sector.
  • Proficiency with Microsoft Office Suite, especially Excel (advanced functions, pivot tables, VLOOKUP), Word, and Outlook.
  • Demonstrated ability to interpret and apply purchasing policies, regulatory standards, and internal controls.
  • Strong analytical mindset with the capacity to think “outside the box” and propose innovative solutions to complex logistical challenges.
  • Excellent written and verbal communication skills, enabling clear interaction with vendors, internal stakeholders, and senior leadership.
  • Ability to manage multiple tasks simultaneously while maintaining attention to detail and meeting tight deadlines.
  • Proven track record of proactive problem solving and issue resolution in a fast‑moving environment.

Preferred Qualifications & Additional Skills

  • Associate’s degree or certification in a related field (e.g., Certified Supply Chain Professional – CSCP, Certified Purchasing Professional – CPP).
  • Experience with aviation‑specific software platforms such as SAP MM, Oracle Procurement, or specialized parts management systems.
  • Familiarity with AOG processes and the unique urgency associated with aircraft on‑ground situations.
  • Knowledge of FAA regulations and industry standards governing parts procurement and inventory control.
  • Demonstrated ability to lead cross‑functional initiatives, mentor junior staff, and influence outcomes without direct authority.
  • Strong organizational skills with a focus on continuous improvement and lean principles.

Core Competencies for Success
