As an Expeditor & Data Entry Specialist, you will be the linchpin that connects suppliers, internal teams, and logistics partners, turning raw data into actionable insights that keep the fleet airborne and the business thriving.

Key Responsibilities

  • Supplier Coordination: Communicate directly with external vendors to expedite the delivery of aircraft components, ensuring they meet arenaflex’s stringent material standards and delivery timelines.
  • AOG Order Management: Prioritize and process AOG (Aircraft on Ground) orders, collaborating with maintenance and engineering teams to resolve urgent parts shortages.
  • Back‑Order Resolution: Identify and follow up on overdue purchase orders, working closely with suppliers to accelerate fulfillment.
  • Inventory & Transportation Planning: Maintain and update inventory and transportation plans, generating accurate material requirement reports for the supply‑chain department.
  • Data Distribution: Provide transportation and logistics data to large cross‑functional teams, ensuring all stakeholders have real‑time visibility into parts movement.
  • FMR & Log Updates: Refresh Flight Maintenance Records (FMR) and logbooks with current aircraft data, guaranteeing compliance with regulatory standards.
  • Report Generation: Create and maintain status reports, dashboards, and visual analytics that highlight key performance indicators (KPIs) for procurement and logistics.
  • System Data Entry: Accurately input purchasing records and information into procurement software, maintaining data integrity across all platforms.
  • Purchaser Support: Assist buyers with clarifications, purchase‑order status updates, and issue resolution.
  • Cross‑Department Collaboration: Work with internal departments and suppliers to resolve discrepancies in shipping, invoicing, quality, and part numbers.
  • Receipt Issue Resolution: Support managers in addressing receipt problems, ensuring that all incoming parts are logged and accounted for.
  • Risk Assessment: Participate in supplier meetings to identify and mitigate potential risks that could impact the supply chain.
  • Continuous Improvement: Contribute ideas for process enhancements, leveraging data analytics to streamline expediting and data‑entry workflows.

Essential Qualifications

  • Education: Bachelor’s degree in Business Administration, Supply Chain Management, Aviation Management, or a related field.
  • Experience: Minimum of 1 year in inventory control, expediting, or manufacturing logistics. Experience within the aviation or aerospace sector is a strong advantage.
  • Technical Skills: Proficiency in Microsoft Office Suite—especially Excel, Word, and PowerPoint—and familiarity with procurement or ERP systems (e.g., SAP, Oracle, or similar).
  • Analytical Ability: Demonstrated capacity to think “outside the box,” solve complex problems, and make data‑driven decisions.
  • Communication: Excellent written and verbal communication skills, with the ability to interact professionally with suppliers, internal teams, and senior leadership.
  • Organizational Skills: Strong attention to detail, ability to manage multiple tasks simultaneously, and a proactive approach to issue resolution.
  • Adaptability: Ability to thrive in a fast‑paced environment, handle shifting priorities, and maintain composure under pressure.

Preferred Qualifications & Additional Skills

  • Associate’s degree or certification in logistics, supply chain, or a related discipline.
  • Experience with AOG processes and emergency parts procurement.
  • Knowledge of aviation regulations and compliance standards (e.g., FAA, EASA).
  • Familiarity with data visualization tools such as Power BI or Tableau.
  • Demonstrated track record of implementing process improvements that resulted in cost savings or efficiency gains.
