Position Summary

arenaflex is hiring an Insurance Customer Service Representative I (Trainee) to join our Property & Casualty (P&C) service team in a fully remote, full-time capacity based out of our Providence, Rhode Island hub. This is a 1st shift position designed for motivated individuals who are eager to learn the insurance industry from the ground up. Working under direct supervision, you’ll develop the foundational skills needed to become fully functional in the Insurance Customer Service role, with a clear pathway to obtaining your P&C license within your first two years of employment.

This role is ideal for customer service professionals who enjoy solving problems, communicating with people, and taking pride in getting details right. You’ll handle incoming calls, process insurance-related mail, assist senior representatives with research, and contribute to the overall member experience that has made arenaflex a household name for generations.

Key Responsibilities

Member Communication & Phone Support

  • Answer a high volume of incoming phone calls in a professional, courteous, and timely manner.
  • Process routine service requests including address changes, claim-related inquiries, and payment processing.
  • Learn how to counsel clients on procedural matters affecting insurance claims, including status updates and next steps.
  • Handle calls from upset or frustrated insureds with empathy, de-escalating concerns and advising them of the options available to pursue a claim.
  • Identify opportunities to cross-sell other lines of insurance and additional arenaflex products and services during member interactions.
  • Recognize when a question or issue exceeds your authority and elevate it to a CSR II or Lead CSR for resolution.

Mail Processing & Documentation

  • Process all types of incoming insurance mail, including discount forms, driver change requests, cancellations, and other routine correspondence.
  • Use sound judgment to determine and apply the correct effective date of any discount, ensuring proper supporting documentation is on file.
  • Process returned mail received from insureds and insurance companies, identifying the root cause of errors and correcting them in a timely and effective manner.
  • Maintain a working knowledge of how errors impact downstream processes and contribute to continuous improvement.

Premium Research & Support

  • Assist CSR II and Lead CSR staff in researching premium differences to identify the origin of the discrepancy.
  • Pull information from master files, contact selling agents, and/or communicate with insurance companies to resolve premium issues.
  • Develop a foundational understanding of insurance rating theory and how premiums are calculated.
  • Contact insureds directly to explain premium differences in clear, easy-to-understand language.
  • Adhere to arenaflex’s Five Diamond Advanced Plus service standards in every customer interaction.

Learning & Professional Development

  • Under direct supervision, learn all aspects of the Insurance Customer Service function with the goal of becoming fully operational in the role.
  • Develop strong computer skills, including proficiency with proprietary insurance software and the Microsoft Office platform (Word, Excel, Outlook, Teams).
  • Build technical knowledge of the insurance industry, including agency policies, procedures, and regulatory requirements.
  • Embrace a Five Diamond Service attitude focused on building lasting, trust-based customer relationships.

Essential Qualifications

  • Education: High School Diploma or GED required.
  • Licensing: Attainment of a Property & Casualty (P&C) Insurance License is required within two years of job entry. arenaflex will support you in preparing for and obtaining this credential.
  • Experience: Prior customer service experience required, preferably in a fast-paced, high-volume environment (call center, retail, hospitality, or similar).
  • Communication Skills: Excellent verbal and written communication skills with a professional phone presence.
  • Technical Skills: Comfortable learning new software systems; basic proficiency in Microsoft Office required.
  • Attention to Detail: Strong accuracy and follow-through when processing forms, payments, and member data.
  • Reliability: Dependable, punctual, and committed to maintaining a consistent remote work schedule during 1st shift hours.

Preferred Qualifications

  • Previous experience in insurance, banking, financial services, or a related regulated industry.
  • Familiarity with insurance rating systems, policy administration platforms, or CRM tools.
  • Bi-lingual or multi-lingual capabilities (Spanish, Portuguese, or other languages commonly spoken in the Northeast are a plus).
  • Demonstrated ability to handle escalations or de-escalate frustrated customers with professionalism.
  • Prior experience working remotely with strong self-management and time-blocking skills.
