Position Overview

We are seeking a dedicated Remote Customer Service Representative to join the Review Team at arenaflex. In this role, you will serve as the primary point of contact for beneficiaries and providers, handling inquiries, processing appeals, and ensuring that all correspondence is accurate, timely, and compassionate. This is a fully remote position with flexible rotational shifts covering EST, CT, and PST time zones.

Key Responsibilities

  • Helpline Management: Answer the Beneficiary Helpline, assess caller needs, and either provide direct assistance or refer callers to appropriate external agencies, documenting each interaction in the CMS system.
  • Correspondence Creation & Proofing: Draft, merge, proofread, and mail letters and other communications, ensuring grammatical precision, proper formatting, and adherence to compliance standards.
  • Data Validation: Retrieve, verify, and organize medical records, notices, and supporting documentation for appeals and reviews.
  • Intake & Appeals Processing: Conduct intake for all incoming appeals, entering accurate data into arenaflex’s case management platform.
  • Quality Assurance: Utilize internal quality‑control tools to evaluate personal work and contribute to team‑wide process improvements.
  • Collaboration: Foster strong working relationships with arenaflex’s internal departments and external partners, sharing insights that drive operational excellence.
  • Continuous Improvement: Participate in regular case‑review meetings, identifying trends and recommending enhancements to streamline workflows.

Essential Qualifications

  • High school diploma or equivalent; additional business coursework is a plus.
  • 2–3 years of clerical experience, including word processing, filing, and telephone‑based customer service.
  • Demonstrated ability to maintain composure under pressure and deliver courteous, patient‑focused service.
  • Strong written communication skills—excellent grammar, punctuation, and spelling.
  • Basic familiarity with medical terminology and healthcare environments (preferred but not required).
  • Proficiency with PC‑based systems; ability to quickly learn new software applications.
  • Exceptional organizational skills, with the capacity to multitask, prioritize, and work independently.

Preferred Skills & Competencies

  • Experience in a health‑care or insurance setting, especially with claims or appeals processing.
  • Knowledge of CMS (Centers for Medicare & Medicaid Services) platforms or similar case‑management tools.
