  • Update existing records promptly, reflecting changes in case status, contact information, and contractual details.
  • Conduct routine data verification, cross‑checking entries against source documents, PDFs, and electronic records to guarantee data integrity.
  • Collaborate with supervisors and cross‑functional team members to share best practices, troubleshoot data anomalies, and refine entry procedures.
  • Utilize electronic equipment, interview stakeholders, and analyze source documents to procure missing or ambiguous data.
  • Prepare and format documents for PDF printing, ensuring compliance with legal standards and internal formatting guidelines.
  • Execute regular data cleansing activities, including the identification and removal of duplicate records, obsolete files, and inconsistent entries.
  • Maintain strict adherence to data entry protocols, security policies, and confidentiality requirements specific to government contracts.
  • Generate periodic reports on data entry metrics, highlighting accuracy rates, turnaround times, and areas for process improvement.
  • Participate in continuous improvement initiatives, suggesting automation opportunities and workflow enhancements to increase efficiency.

Essential Qualifications

  • Bachelor’s degree in Computer Science, Information Management, Business Administration, or a closely related field.
  • At least 1 year of professional data entry experience, preferably within a legal, governmental, or compliance‑focused environment.
  • Minimum 3 years of advanced Microsoft Office experience, including Excel (pivot tables, VLOOKUP), Word, and Outlook.
  • Exceptional typing proficiency (70+ WPM) with a proven track record of high accuracy.
  • Strong written and verbal communication skills, enabling clear interaction with internal teams and external stakeholders.
  • Demonstrated ability to work independently while thriving in a fast‑paced, deadline‑driven setting.

Preferred Skills & Attributes

  • Familiarity with legal case management systems (e.g., Clio, MyCase, or proprietary platforms).
  • Experience with data validation tools, OCR software, and PDF editing utilities.
  • Basic knowledge of data privacy regulations such as GDPR, CCPA, and federal information security standards.
  • Proactive problem‑solving mindset with a keen eye for detail and a commitment to continuous improvement.

  • Team‑oriented attitude, willing to share knowledge and mentor junior staff as needed.

Core Competencies for Success

  • Accuracy & Attention to Detail: Ensuring every data point entered is correct, complete, and compliant with legal standards.
  • Time Management: Prioritizing tasks to meet daily and weekly data entry targets without sacrificing quality.
  • Collaboration: Working closely with legal analysts, project managers, and IT support to resolve data discrepancies.
