Key Responsibilities

  • Organized Records Management: Maintain a detailed, logical, and easily navigable storage system to ensure that all data entries remain complete, traceable, and accurate over time. Apply consistent naming conventions and folder hierarchies across all records.
  • Physical Document Archiving: Keep a secure record of hard-copy documents such as invoices, inventory checklists, purchase orders, and other essential financial paperwork. Coordinate with administrative teams to ensure proper retention and disposal policies are followed.
  • Data Quality Standards: Establish and uphold data entry standards by continuously refining and updating filing systems, templates, and validation rules. Proactively identify opportunities to improve data quality across the organization.
  • Resolving Data Inconsistencies: Identify and address data inconsistencies by collaborating with administrative staff, department leads, and other team members to locate missing or incorrect information. Document all corrections and adjustments thoroughly.

Essential Qualifications

  • A high school diploma or GED is required. Additional certification in office administration, data management, or a related field is a strong plus.

  • Proven ability to perform data entry accurately across multiple systems, including EMR platforms, CRM databases, and custom in-house applications.
  • Strong typing skills with a high level of speed and precision, including the ability to handle faxing, scanning, and document preparation tasks.
  • Demonstrated capability to review, verify, and audit data prior to entry, identifying and correcting errors efficiently.
  • Familiarity with routine clerical functions and a willingness to support broader administrative operations when needed.
  • Ability to work independently in a remote setting while staying connected to team members through digital communication tools.
