Administrative Assistant - NJ based remote

This is a NJ based remote position. The ideal candidate will reside within a commutable distance to our headquarters in Madison, NJ. The Administrative Assistant, reporting to the Chief Marketing Officer for Coldwell Banker, will help manage the day to day activities for brand marketing leadership while also overseeing several department wide programs and connections with our network of affiliate marketing directors. Responsibilities will include: Support the SVP of Marketing by managing calendar, travel, expense reporting and meeting coordination. Additional support of the VP of Brand Marketing, VP of Communications & PR and VP of Luxury in managing calendar and expense reporting. Be department liaison with legal in the managing, routing and approval process for all contracts and aid with expense approval process. Manage the Coldwell Banker residential and commercial marketing director lists including the adding/removing of personnel, communications with them and oversight of... quarterly virtual updates. Responsible for onboarding of marketing personnel in coordination with HR, IT and the marketing group to ensure transition is a smooth and timely process. Lead coordinator of department Teams Lives events including connecting with IT on details, handling prep sessions and directing the Live events. Oversight and management of P-card purchasing and approvals Partner with other departments for planning of department, brand and company wide events to address scheduling and mapping of details. Maintaining comprehensive and accurate corporate records, documents and reports Performing minor accounting and bookkeeping duties like routing of invoices and setting up vendors within our system Work closely across the marketing team on program development and implementation Ensure creative marketing materials undergo regular review and adhere to brand guidelines Contributes to marketing effectiveness by identifying short-term and long-range issues that must be addressed. Provides information and commentary pertinent to deliberations, recommends options and courses of action, and implements directives. Maintains professional and technical knowledge by attending educational workshops, establishing personal networks, and participating in brand/company resource groups.

Requirements

Administrative support experience required Experience executing domestic and international travel, calendar management, meeting planning, scheduling and logistics Experience managing expenses Tech savvy, advanced level proficiency in MS Office (Outlook, Word, PowerPoint, Excel) and Concur Strong communication skills, both written and verbal, with the demonstrated ability to interact with and establish rapport with all levels of staff Excellent attention to detail and follow up Ability to visit or work out of the NJ office occasionally when needed Ability to travel up to 10% for company events #LI-DS1 #LI-Remote Exciting News: EEO Statement: EOE AA M/F/Vet/Disability Compensation Range: $75,000 - $85,000 ; At Anywhere, actual compensation within that range will be dependent upon the individual's skills, experience, and qualifications Apply Job!
