Virtual Assistant for Legal Team About We Are Working (WAW) is a full-service staffing company specializing in helping small to midsize businesses hire offshore talent, also known as virtual assistants (VA). Much of our competition are foreign-based companies that do little more than offer a very low hourly rate and connect a company with a VA and leave much of the 'figuring it out' up to the client. We Are Working is different in that we are more full service and we layer into the equation rock solid workflow and strong supervision of the VA. We are workflow experts and once we take over a task, all of the operational headaches associated with that task are handled by WAW from that point forward. About the role: We are seeking a detail-oriented and highly organized Virtual Assistant to provide administrative and clerical support to our legal team. This role will primarily involve assisting attorneys and paralegals with various tasks, managing documents, scheduling appointments, and handling client communications. The ideal candidate will have a strong understanding of legal terminology, excellent communication skills in both English and Spanish, and the ability to work efficiently in a remote environment. Key Responsibilities:

  • Administrative Support: Provide administrative assistance to attorneys and paralegals, including drafting correspondence, transcribing dictations, and preparing legal documents. Manage calendars, schedule appointments, and coordinate meetings and conference calls. Organize and maintain electronic and physical files, ensuring all documents are accurately labeled and easily accessible.
  • Client Communication: Serve as the primary point of contact for client inquiries, providing timely and professional responses via email and phone in both English and Spanish. Assist with client intake procedures, gather necessary information, and maintain client databases. Coordinate client meetings and assist with the preparation of meeting materials.
  • Document Management: Assist with drafting and editing legal documents, including contracts, briefs, pleadings, and memos. Proofread documents for accuracy, grammar, and formatting, ensuring compliance with legal standards and requirements. File documents with courts, agencies, and other relevant entities, adhering to applicable deadlines and procedures.
  • Research and Analysis: Conduct legal research on relevant statutes, case law, and regulations as assigned. Summarize findings and prepare reports or memos for review by attorneys and paralegals. Assist in the preparation of legal arguments, briefs, and other written submissions.
  • General Support: Assist with billing and invoicing processes, track billable hours, and prepare expense reports as needed. Collaborate with team members on special projects and initiatives to support the overall objectives of the firm.

Requirements:

  • Proven experience working as a legal assistant, legal secretary, or paralegal assistant.
  • Strong understanding of legal terminology, procedures, and documentation.
  • Proficiency in both English and Spanish, with excellent communication skills in both languages.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and legal software applications.
  • Ability to prioritize tasks, manage multiple deadlines, and work efficiently in a fast-paced environment.
  • Discretion and confidentiality when handling sensitive information and client matters.
  • Flexibility to adapt to changing priorities and willingness to take on new responsibilities as needed.

  • Schedule: Flexible schedule with availability to overlap during the 9:00 AM - 5:00 PM EST business day.
