[Remote] Projects Operations Coordinator

Note: The job is a remote job and is open to candidates in USA. Windsor Management is a rapidly growing company in commercial property management, seeking a Projects Operations Coordinator to support their operations. The role involves managing projects, providing administrative support, and resolving tenant issues while maintaining high communication standards.

Responsibilities

  • Take ownership of projects as assigned, adapting quickly to new priorities and helping move initiatives from idea to execution with minimal direction.
  • Provide direct administrative support as needed and maintain a high level of communication and coordination.
  • Serve as the go-to person for projects that don't have a defined owner, ensuring they are carried through to completion.
  • Receive inbound calls, emails, and work orders from tenants and work with the property managers, vendors, and other Windsor staff to resolve tenant issues.
  • Bid and manage vendor and building contracts.
  • Track and work with vendors to perform periodically scheduled preventative maintenance
  • Periodically review vendors for pricing and performance.
  • Take ownership of miscellaneous assignments and one-off requests that arise in a fast-growing company.
  • Provide direct administrative support as needed and maintain a high level of communication and coordination.
  • Demonstrate a “no task is too small” mindset, treating every responsibility as valuable to Windsor’s success.

Skills

  • Possess great interpersonal skills and empathy, and exhibit a high degree of professionalism and teamwork.
  • Ability to handle a large volume of tasks simultaneously.
  • Exceptional organizational abilities to track ongoing items.
  • Exhibit an understanding of operations and maintenance procedures.
  • Knowledge of commercial buildings and maintenance.
  • Yardi Voyager experience helpful.

  • Federal Holidays: We observe the 11 Federal Holidays and close our office.
  • Vacation PTO: There are 15 earned days of vacation PTO in your first year, stepping up to 20 days thereafter.
  • Sick PTO: We have our standard 5 sick PTO days per year.
  • Windsor Days PTO: Between the Federal Holidays, Vacation PTO, and Sick Days, you will have 31 guaranteed days of vacation per year for your first year, increasing to 36 days in your second year. This does not include Windsor days. We may also observe Windsor days, which are days we close the office early. For example, a half day on the day before Thanksgiving, a half day on Christmas Eve, a half day on New Year’s Eve, etc. However, Windsor Days are not guaranteed to be offered on an annual basis. The offering of Windsor Days depends on the needs of the business!
  • Medical & HRA Card: We offer our team a medical plan and an HRA Card! Those who enroll in our medical plan will get Windsor's coverage for their first $4,000 (if participating as an individual) or first $8,000 (if participating as a family).
  • Vision and Dental: We offer our team a vision and dental plan!
  • 401k Plan: We offer a 401k plan with company matching via Guideline. Your contributions vest immediately, and Windsor will match 100% of the first 3% of your salary and 50% of the next 2% of your salary (so if you contribute 5%, Windsor matches 4% of your salary).
  • FSA Dependent: We offer an FSA Dependent care that you can choose to participate in up to the federal maximum.
  • FSA Medical: We offer an FSA Medical care that you can choose to participate in up to the federal maximum.
  • Life Insurance: Employer-sponsored life and LTD plans are available, including a level with guaranteed coverage. You pay the premiums if you participate but it is done on a pre-tax basis.
  • Long Term Disability: Benefit Amount: 60% of pre-disability monthly earnings up to $10,000 per month.
  • Benefits Consultant: We are partnered with Cavignac, so our team has a Benefits advisor!
